Position Summary
Promotes a positive practice image throughresponsive and professional telephone etiquette; records accurate & concisemessages; distributes messages timely; directs callers appropriately;proficiently uses telephone system. Performs other functions designed tofacilitate the smooth flow of patients and work throughout the clinic
Job Responsibilities
•Greetscallers in a friendly, cheerful and professional manner; determines their needsand responds accordingly.
•Utilizesprofessional telephone etiquette with all callers; answers incoming calls bythe third ring.
•Instructsall emergency callers to dial 911; notifies patient's nurse.
•Receivesand distributes all answering service, voicemail and other messages timely.
•Routescalls appropriately in accordance with guidelines.
•Takescomplete and accurate messages.
•Maintainscall schedule and notifies answering service of all changes.
•Assistswith patient appointment reminder calls as needed.
•Actsas patient relations representative by answering patient inquiries within thelimits of knowledge and medical practice policies.
•Createsnew patient accounts and charts as needed.
•Updatespatient demographic and insurance information in accounts.
•Enterspatient charges accurately.
•Followconfidentiality and security rules when providing patient information.
•Distributemail to specified recipients.
•Reportstelephone system or telephone line problems immediately to appropriate vendor.
•Adhereto OSHA guidelines and participate in safety program.
•Performany other services deemed reasonable by physician or supervisor.
Qualifications
Educationand Experience: High school diploma or equivalent. Aminimum of one year's experience in a medical office or other healthcaresetting.
Knowledge: Modern operational methods inherent to amedical practice; clerical equipment, operations and processes; must have basicunderstanding of medical terms and abbreviations; usage of computer systems;the mechanics of health insurance; various medical forms, reports andprocessing methods; patient confidentiality/HIPAA regulations.
Abilities: Make a great first impression andsustain it; utilize telephone etiquette and professionalism; exhibit stronginterpersonal skills; follow set routines and be alert to variations to actaccordingly; establish and maintain cooperative relationships with staffmembers; create a responsive, caring environment for patients; respond promptlyto physicians' directions; maintain medical records in a concise and accuratemanner; react quickly in emergency situations; recognize and prevent possiblesafety hazards; exercise independent judgment; communicate clearly andconcisely; process a variety of medical reports; correct costly data captureerrors.
