Responsibilities
- Greet clients and visitors professionally.
- Follow up on overdue accounts and outstanding balances, and process client payments.
- Answer billing-related calls from clients in both English and Spanish, providing professional customer service.
- Investigate and resolve billing issues by coordinating with clients, insurance carriers, Account Managers, and internal teams.
- Communicate with insurance carriers to resolve billing discrepancies, update payment methods, verify account information, and ensure accurate policy transactions.
- Review daily cancellation reports, identify policies at risk of cancellation, communicate with clients and carriers, and coordinate policy reinstatements when appropriate.
- Maintain accurate records of billing inquiries, payment updates, cancellations, and reinstatements within our Agency Management System (AMS).
- Support client retention efforts by resolving billing issues and helping maintain continuous insurance coverage.
- Manage incoming and outgoing mail and deliveries.
- Assist with client communications by phone and email.
- Make check deposits.
Must Have Skills
- Fluency in both English and Spanish (Spanish is required).
- Strong computer proficiency.
- Excellent attention to detail.
- Strong investigative and problem-solving skills, with the ability to dig into billing issues and identify the root cause.
- Ability to quickly learn new software and carrier systems.
- Basic proficiency in Microsoft Excel, Outlook, and other Microsoft Office applications.
Experience Level:
Ideally, we're looking for a candidate with 1–3 years of relevant experience. They should have enough knowledge to perform the core responsibilities with limited supervision while remaining eager to learn our processes and systems.
Education & Certifications:
Equivalent hands-on experience is preferred, particularly in office administration, billing, or insurance-related clerical work.
Reporting Structure & Team Dynamics:
This position reports directly to the Personal Lines Manager. The individual will work independently in the billing function while collaborating closely with both the Personal Lines and Commercial Lines Account Managers.
