Position Summary:

Zoecklein Law P.A. is seeking a proactive, organized Billing Operations Manager to oversee the firm’s billing, collections, bookkeeping, marketing coordination, and intake team.

This is a hands-on management position requiring both execution and team accountability. The manager will maintain accurate financial records, improve collection processes, coordinate approved marketing initiatives, and ensure the intake team consistently follows through with prospective clients.

The ideal candidate is comfortable working with numbers, managing employees, using technology, and addressing problems independently while keeping leadership informed. This position is in-office, full-time and located in Brandon, FL.

Key Responsibilities:

Billing and collections, bookkeeping and financial coordination, managing a small Intake Team, marketing coordination and oversight, leadership reporting and process improvement.

Required Qualifications:

• Relevant experience in billing, collections, bookkeeping, or financial operations.
• Previous supervisory experience, including assigning work, coaching employees, and addressing performance concerns.
• Working knowledge of accounts receivable, accounts payable, and bank and credit card reconciliations.
• Experience coordinating marketing projects, vendors, or campaigns.
• Proficiency with bookkeeping software, Excel, CRM platforms, and business management systems.
• Strong written and verbal communication skills.
• Excellent attention to detail, organization, and follow-through.
• Ability to manage competing priorities and exercise sound judgment.
• Ability to discuss payment concerns professionally and handle confidential information responsibly.
  
  
  

Preferred Qualifications:

• Experience in a law firm or other professional services business.
• Familiarity with PracticePanther, Pipedrive, and the firm’s bookkeeping platform.
• Experience managing intake, sales support, or client service teams.
• Experience using reporting dashboards and workflow automation.
• Associate or bachelor’s degree in accounting, finance, business administration, or a related field, or equivalent practical experience.
