Your day-to-day is…

  • Coaching and leading a team of workplace experience professionals, establishing a culture of service excellence, accountability, and proactive support for employees and visitors
  • Implementing and refining structured processes, ensuring that they are scalable, efficient, and adaptable
  • Establishing and monitoring KPIs and SLAs to assess workplace support, employee experience, and operational efficiency, aiming for continuous improvement.
  • Collaborating with cross-functional partners (HR, Recruiting, IT, Finance) to align workplace services, ensuring consistent, smooth experiences for employees
  • Supporting office budget management and cost-saving initiatives, maximizing resources while maintaining the quality of employee experience
  • Working alongside our office coordinator by welcoming guests, clients, and candidates, connecting them to the people or resources they’re seeking
  • Giving friendly, top-notch office assistance to all Zocdoc’rs
  • Establishing evaluation criteria for our office amenities (free lunch, snacks, drinks, etc.) to ensure they are valued by employees and contribute to increased in-office presence and productivity
  • Handling all office logistics, including facility maintenance (HVAC), supplies, shipping/receiving (up to 40 lbs), and vendor management
  • Supporting other office services, such as assisting with in-office meetings, events, and basic facilities-related requests
  • Triaging our internal email and ticketing system
  • Assisting with new hire onboarding & orientation logistics

You’ll be successful in this role if you have…

  • Meaningful (5 years) experience in office operations management, with at least 3 years in a supervisory role where you hired, trained, and built scalable processes that support employee needs
  • Strong organizational skills. The office has complex needs, so multitasking and problem-solving abilities are essential
  • Excellent customer service skills
  • A data driven and analytical mindset - you like numbers to support your decision making
  • Strong tech skills; you will need to operate on different technology platforms throughout the day (Google Suite, Slack, internal ticketing and messaging system (Jira), online ordering system).
  • Demonstrated admin, coordinator, or equivalent experience (preferred)
  • Strong written and verbal communication skills
  • Passion for delivering high-quality, service-driven support. You build structured, effective systems for office processes
  • A consultative and confident approach in leading and developing your team. You provide direction while empowering your team to anticipate employees’ expectations
  • A fundamental understanding of resource management and budgeting. You’re skilled at balancing costs and service quality
  • The mentality of an entrepreneur/owner and a strong bias to action. You’re proactive in solving challenges and ensuring all processes meet the highest standards
  • Superb communication skills! You value transparency and know how to keep stakeholders informed and supported
  • Humility. You believe in treating all people with dignity and respect, regardless of title or tenure
  • Ability to lift and carry up to 40 pounds as needed for supply inventory, shipping/receiving, and office logistics
  • Spanish speaking a plus

Zocdoc is committed to fair and equitable compensation practices. Salary ranges are determined through alignment with market data. Base salary offered is determined by a number of factors including the candidate’s experience, qualifications, and skills. Certain positions are also eligible for variable pay and/or equity; your recruiter will discuss the full compensation package details.

NYC Base Salary Range

$90,000—$120,000 USD
