Job Summary:
The Administrative Assistant will be responsible for daily communication with customers, data entry, and assisting the company in various ways. The position requires great attention to detail. You must be able to work independently but also contribute to the success of our team.
You will be working directly with the Administrative Manager and Operations Department.
Responsibilities:
· Data entry- must be proficient and accurate with Excel and Word, experience with Powerpoint and software systems is highly desired; Able to complete various forms accurately and in a timely manner
Office upkeep:
- Maintaining supplies
- Communicating with vendors & maintaining their contact lists
- Email correspondence; prompt and professional
- Maintain a filing system
Data Entry:
- Order processing
- Invoicing orders
- Able to complete various forms accurately and in a timely manner
Customer service
- consulting and interacting with high-level customers on a regular basis over the phone or in person
- Write and distribute email, correspondence memos, letters, faxes and forms
- Develop and maintain a filing system
- Update and maintain policies and procedures
Skills:
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- NetSuite experience preferred but not required
- Strong organizational skills with the ability to multi-task
- Bachelor’s Degree or equivalent experience.
- Must pass a drug test and background check
- Must love dogs (ability to work with the occasional distraction of dogs)
Job Type: Part-time
