The Front Desk Receptionist / Patient Coordinator plays a vital role in creating an outstanding client experience from the moment patients walk through our doors. This position requires excellent customer service skills, strong organizational abilities, and the ability to multitask in a fast-paced wellness and medical spa environment.
Responsibilities
- Greet patients and visitors warmly, providing outstanding customer service with professional phone etiquette and clear communication.
- Manage multi-line phone systems, schedule appointments, and confirm upcoming visits using EMR (Electronic Medical Records) systems, like Vagaro.
- Verify insurance coverage and perform insurance verification.
- Collect patient information accurately during intake, update medical records, and review documentation for completeness and compliance with HIPAA regulations.
- Assist with medical administrative tasks such as filing, data entry, and maintaining organized medical records.
- Process payments and maintain accurate client records
- Ensure smooth clinic operations by managing appointment scheduling, patient flow, and follow-up communications in a fast-paced environment.
Skills
- Proven experience in a medical office setting with strong clerical skills including typing (10 key typing), filing, and data entry.
- Excellent communication skills with the ability to handle multi-line phone systems professionally; bilingual abilities are highly valued.
- Fluent English speaking and writing skills required
- Proficiency in Microsoft Excel required
- Understanding of HIPAA regulations to ensure patient confidentiality at all times; experience in health information management is preferred.
- Ability to work efficiently under pressure while maintaining attention to detail in a busy clinic environment; previous office or front desk experience is essential.
