Job Overview
We are seeking an energetic and highly organized Construction Office Manager to lead the administrative operations of our construction projects. This pivotal role involves overseeing office functions, managing vendor relationships, coordinating schedules, and ensuring smooth communication across teams. Duties

  • Manage daily office operations, including filing, record keeping, and clerical tasks to ensure efficiency and accuracy.
  • Oversee schedule management for project timelines, meetings, and deadlines to keep teams aligned and on track.
  • Coordinate with vendors, suppliers, and subcontractors to facilitate procurement, delivery schedules, and service agreements.
  • Supervise administrative staff, providing training and development opportunities to enhance team performance.
  • Handle human resources functions such as payroll processing, employee onboarding, and maintaining personnel records.
  • Utilize QuickBooks or similar accounting software for budgeting, invoicing, and bookkeeping tasks related to construction projects.
  • Maintain effective communication channels via multi-line phone systems and front desk management to support seamless internal and external interactions.

Requirements

  • Proven experience in office management within the construction industry or a related field.
  • Strong supervisory experience with the ability to lead administrative teams confidently.
  • Excellent organizational skills with keen attention to detail in scheduling, filing, and record keeping.
  • Proficiency in QuickBooks for financial management; experience with budgeting and payroll is essential.
  • Knowledge of vendor management processes and contract administration.
  • Exceptional communication skills paired with professional phone etiquette for front desk duties.
  • Experience with event planning or coordinating meetings for project teams is a plus.
  • Ability to handle multiple priorities efficiently while maintaining a positive attitude under pressure.
  • Familiarity with human resources practices including training & development initiatives.
  • Prior experience managing medical or office environments is advantageous but not required.
