Position Overview
We are seeking a polished, detail-oriented Patient Concierge to serve as the first point of contact for our patients. This role is responsible for delivering a high-touch, luxury experience while managing front desk operations, scheduling, and patient coordination.
This is not a typical front desk role. We expect someone who can anticipate needs, communicate confidently, and elevate the overall patient experience from the moment they walk in.
Key Responsibilities
- Greet and check in patients with professionalism and warmth
- Deliver a concierge-level experience from arrival to departure
- Manage scheduling through EMR (AestheticsPro or similar system)
- Answer phones, texts, and emails promptly and professionally
- Coordinate appointments, follow-ups, and treatment plans
- Assist with patient intake forms, consents, and documentation
- Maintain cleanliness and presentation of the front desk and lobby
- Process payments, packages, and memberships accurately
- Support clinical staff with patient flow and communication
- Educate patients on services, memberships, and promotions
- Handle high-volume days while maintaining a calm, organized presence
Qualifications & Requirements
- Minimum 2 years of front desk, concierge, or customer service experience
- Experience in a medical spa, wellness clinic, or healthcare setting preferred
- Strong communication and interpersonal skills
- Highly organized with strong attention to detail
- Comfortable with technology, EMR systems, and scheduling platforms
- Ability to multitask and prioritize in a fast-paced environment
- Professional appearance and demeanor required
- Must be reliable, punctual, and team-oriented

Schedule
