Job Overview
We are seeking a dependable and organized Office Assistant to support the daily administrative operations of a busy law office. The ideal candidate will have strong organizational and administrative skills, excellent written and verbal communication abilities, and the ability to manage multiple tasks efficiently. This role involves handling correspondence, document preparation and organization, mailings, and general office support. Bilingual candidates (English/Spanish preferred) are strongly encouraged to apply. Familiarity with office software and administrative tools is a plus. The Office Assistant plays an important role in maintaining an efficient, professional, and well-organized office environment.
Responsibilities
- Provide general administrative support to attorneys and staff
- Prepare, organize, scan, and file legal and administrative documents
- Handle office correspondence, including emails and mailed documents
- Prepare outgoing mail, including certified mail, postage, and tracking
- Make regular trips to the post office for mailings and document drop-offs
- Maintain proof of mailing and organize mailing records
- Perform accurate data entry and update client and case files
- Assist with scheduling, calendar coordination, and internal deadlines
- Organize digital and physical files to maintain an orderly office system
- Communicate professionally with clients and third parties as needed
- Assist bilingual communication with clients when applicable
- Order office supplies and assist with general office organization
- Maintain confidentiality and professionalism with sensitive legal information
- Perform additional administrative tasks as assigned
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Strong organizational skills with excellent time management abilities
- Experience with clerical tasks such as filing, data entry, proofreading, and document management
- Knowledge of QuickBooks or similar bookkeeping software is preferred
- Excellent phone etiquette with experience managing multi-line phone systems
- Bilingual abilities are a plus for serving diverse client needs
- Strong computer literacy and familiarity with office management software
- Previous office or administrative experience in a legal or professional setting is desirable
- Exceptional customer service skills with a friendly demeanor
- Ability to handle multiple tasks efficiently while maintaining attention to detail
- Personal assistant or medical/dental receptionist experience is advantageous but not required
- Reliable transportation required.
Pay: $16.00 - $20.00 per hour
Expected hours: 15.0 – 25.0 per week
