Description
Core Functions for Homeowner Association's ("HOA") and Condo Association's ("COA"):
1. Financials
- Prepare budgets and manage financials, including invoices, collections, and cash flow.
- Monitor budgets, code expenses, and distribute monthly financials to the board.
- Ensure timely billing and payments for services.
2. Communications
- Proactively communicate updates to homeowners and the board, maintaining transparency.
- Manage announcements, newsletters, and homeowner inquiries within SLA timeframes.
- Deliver text-based informational updates when needed.
3. Inspections & Compliance
- Conduct lot and community inspections, addressing violations and preparing fining packages.
- Ensure adherence to governing documents and regulations.
4. Architectural Requests
- Guide homeowners on architectural guidelines and documentation requirements.
- Prepare decision-ready packages for board and committee reviews.
- Communicate decisions promptly to homeowners.
5. Maintenance Oversight
- Supervise vendor services and ensure common areas are clean, operational, and compliant.
- Manage routine and preventative maintenance schedules.
- Oversee emergency and replacement maintenance per reserve study requirements.
6. Procurement
- Act as a liaison between the board and vendors for goods and services.
- Manage RFPs/RFIs and review contracts to ensure compliance with requirements.
- Notify vendors of contract awards and coordinate next steps.
7. Risk Management
- Develop and enforce emergency plans, rules, and safety protocols.
- Monitor access controls and oversee association-maintained infrastructure.
- Ensure permits are current and compliance standards are met.
8. Governance
- Advise the board on legislative changes, legal obligations, and industry best practices.
- Stay informed on industry trends to support the community’s wellness and governance.
Experience/Skills:
- LCAM license and property management experience required.
- Strong financial acumen and knowledge of accounting practices.
- Skilled in customer service, communication, conflict resolution, and time management.
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams).
- Experience in presenting to C-suite and managing programs or initiatives.
- Valid driver’s license and reliable transportation.
- Self-motivated and focused in a hybrid/remote work environment.
