Your role is an important part of realizing this dream and representing clients in a time when they are hurting and need support.

Position Overview:

The intake team is responsible for fielding all incoming calls to the law office and following up on all other potential new client outreach. The intake team provides the foundation for the firm by engaging new clients and filtering client cases in. The role of the Director of Intake is to manage the onsite intake team members, international intake team members and after-hours intake vendors. The Director of Intake will provide reporting, coaching and offer improvements for the intake process wherever possible.

Responsibilities:

o Maintain a professional, courteous, and helpful attitude in all interactions.

o Ensure staff answers incoming calls promptly, ensuring pick-up before the second ring. Monitor this for on-site, offshore and after-hours calls.

o Review new cases for disposition as allowed by Intaker Bill of Rights and as designated per AJZ. Ensure staff effectively communicates disposition to PNC.

o Ensure accurate documentation of all case activities and client interactions in HubSpot and NEOS systems. Review staff work with report weekly.

o Review prepared Pre-Welcome packets and Letters of Representation as part of client onboarding. Ensure accuracy in intake staff documentation. Resend representation agreements where applicable and provide staff coaching.

o Monitor the progress of new staff training with training knowledge checks.

o Ensure there is staff follow up consistently with PNC at all required stages until case retention or declination is confirmed. Remind staff as required.

o Monitor referrals both inbound and outbound to ensure consistent communication with referring firm. Ensure case disposition is provided for external referrals, and follow-up occurs bi-annually for possible settlement.

o Assign new deals and contacts in HubSpot, LexReception and Vonage to ensure PNC follow-up and increase client retention.

o Conduct bi-weekly department meetings maintaining weekly agenda and providing additional trainings as required for intake staff

o Meet with afterhours vendor monthly to address concerns and offer support to sign additional cases as needed.

o Complete weekly report for onsite, offshore and afterhours teams to ensure that KPIs are being met. Address concerns where appropriate.

o Manage pipelines for intake to monitor PNC follow-up.

o Provide oversight of Intake Supervisor and offer support where needed.

o Execute additional tasks and requests assigned by AJZ to support team and office operations.

o Problem-solving mindset with the ability to collaborate effectively within a team environment.

o Supervisory skills to ensure effective staff and programmatic compliance

o Effective reporting skills and ability to analyze data to provide programmatic improvements wherever possible.

Pay: $65,000.00 - $85,000.00 per year
