Job Summary
Zachry Construction Corporation is seeking an Administrative Coordinator to provide comprehensive administrative and executive support for management within Corporate Accounting. This position is responsible for a wide range of administrative duties including maintaining records, reviewing invoices, preparing reports, and supporting accounting-related systems and programs.
Essential Functions
- Manage Outlook calendars, schedule appointments, and coordinate both internal and external meetings
- Make travel arrangements and prepare related documentation
- Perform general administrative duties including mail distribution, copying, ordering office supplies, answering phones, and directing calls
- Scan, file, and maintain documents, correspondence, and accounting records
- Prepare and assemble reports and assist with special projects as needed
- Support uploading of annual budgets into the company’s general ledger system
- Assist in administering Concur, the company’s expense reporting system Assist in the administration of the company’s third-party office supply vendor
- Assist in managing the company’s corporate credit card program
- Perform other related administrative duties as assigned by the supervisor

Required Skills & Experience
- Minimum of two years of previous administrative experience
- Experience supporting multiple departments or managers preferred
- Basic accounting knowledge or experience preferred but not required
- Ability to maintain confidentiality and handle sensitive information with discretion
- Proficiency in Microsoft programs including Excel, Word, and PowerPoint
- Strong organizational, prioritization, and attention-to-detail skills
- Excellent verbal and written communication skills
- Dependable, self-motivated, and task-oriented with consistent attendance and reliability
