Z3 Real Estate Part-Time Facilities Assistant (Commercial Real Estate)
Position Overview: We are seeking a highly motivated and organized Facilities Assistant to join our commercial real estate team. This position plays a critical role in ensuring the efficient operation and maintenance of our commercial properties. The Facilities Assistant will be responsible for a variety of tasks related to property inspections, Yardi work orders, tenant relations, and emergency dispatch. The successful candidate will contribute to maintaining a safe, attractive, and well-functioning environment for our tenants.
Key Responsibilities:
1. Property Inspections:
- Conduct regular property inspections to assess the condition and functionality of the commercial real estate properties.
- Document inspection findings and generate reports to identify maintenance or repair needs.
2. Yardi Work Orders:
- Utilize Yardi or similar property management software to receive, process, and coordinate completion of maintenance requests from tenants, self-input work orders, and other various service requests from the property management team. Prioritize and assign work orders to appropriate service providers and contractors.
3. Tenant Relations Serve as a point of contact for tenants regarding maintenance issues, inquiries, and concerns.
- Build and maintain positive relationships with tenants to promote tenant satisfaction and retention.
- Communicate regularly with tenants to keep them informed of maintenance schedules and any potential disruptions.
4. Emergency Dispatch:
- Respond to emergency calls or alarms related to the properties promptly and efficiently.
- Coordinate emergency responses, including contacting appropriate service providers, authorities, and tenants when necessary.
- Ensure that emergency procedures and protocols are followed to protect the safety and security of the property and its occupants.
Qualifications:
- High school diploma or equivalent; relevant coursework in facility management, property management, or a related field is a plus. Previous experience in facilities management, property management, or a related field is preferred.
- Proficiency in using property management software, such as Yardi or similar platforms.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to work effectively in a fast-paced environment and handle emergencies with composure.
- Knowledge of safety and emergency procedures.
- Basic understanding of building systems and maintenance processes.
- Must have reliable transportation.
Working Conditions:
- This role is majority on-site visits to commercial properties with occasional in office visits.
- Must be available for on-call or emergency response duties as needed, which may include evenings, weekends, and holidays.
