We are seeking a dynamic and highly organized Office Manager / Bookkeeper to join our team! Duties
- Manage day-to-day office operations, including front desk responsibilities, multi-line phone systems, and calendar management to ensure seamless workflow.
- Oversee bookkeeping activities using QuickBooks or similar accounting software, including invoicing, expense tracking, payroll processing, and financial reporting.
- Coordinate vendor management efforts—negotiating contracts, managing supplies, and ensuring timely payments.
- Support human resources functions such as onboarding new staff, maintaining employee records, assisting with training & development programs, and handling basic HR inquiries.
- Plan and execute events and meetings, including scheduling logistics, preparing materials, and coordinating catering or other services as needed.
- Supervise administrative staff and provide training on office procedures to foster a collaborative team environment.
- Maintain organized filing systems—both digital and physical—and ensure compliance with confidentiality standards.
- Assist in budgeting processes by monitoring expenses and preparing financial summaries for leadership review.
Experience
- Proven experience in office management or administrative roles within a professional environment.
- Demonstrated bookkeeping expertise with proficiency in QuickBooks or comparable accounting software.
- Supervisory experience managing teams or administrative staff is highly desirable.
- Strong background in human resources practices including payroll processing and employee onboarding.
- Experience coordinating events or meetings with attention to detail and logistical planning skills.
- Excellent communication skills—both verbal and written—and exceptional organizational abilities.
- Familiarity with medical office management or healthcare-related administrative tasks is a plus but not required.
