Job Overview:

The CEO Assistant will provide essential support to ensure smooth day-to-day operations within the department. This position requires flexibility and multitasking abilities, as the assistant will handle a wide range of administrative and operational tasks. The ideal candidate is proactive, detail-oriented, and able to adapt to various tasks and priorities.

Key Responsibilities:

Administrative Support:

  • Answer phone calls and emails, directing inquiries to the appropriate department or person.
  • Schedule and organize meetings, appointments, and events.
  • Maintain and update office records, filing systems, and databases.
  • Prepare and proofread documents, reports, and presentations.
  • Handle office correspondence, including sorting and distributing mail.
  • Operational Assistance:
  • Order office supplies and maintain inventory.
  • Assist with the organization and preparation of company events, workshops, or conferences.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation.
  • Maintain and manage office equipment and ensure proper functioning (e.g., printers, copiers, etc.).
  • Customer & Client Interaction:
  • Greet visitors and clients, providing exceptional customer service.
  • Assist with general inquiries and ensure a positive experience for clients or stakeholders.
  • Being able to support basic reception duties, such as managing the front desk area and directing visitors.
  • Task Management & Coordination:
  • Assist various team members with their daily tasks and projects.
  • Help prioritize tasks and manage deadlines for team members.
  • Coordinate with vendors and suppliers as needed.
  • Carry out other administrative duties as required by management.

Skills & Qualifications:

  • Educational Requirements: High school diploma or equivalent; some college education or certifications in office management, business administration, or related fields are a plus.
  • Experience: Previous experience in an office or administrative role is preferred but not required.
  • Technical Skills: Proficient in MS Office Suite (Word, Excel, PowerPoint) and other office management software; familiarity with office equipment.
  • Communication Skills: Strong written and verbal communication skills.
  • Organizational Skills: Ability to manage multiple tasks efficiently and meet deadlines.
  • Interpersonal Skills: Friendly, approachable, and capable of working well with a diverse team.
  • Attention to Detail: Ability to handle tasks with precision and accuracy.
  • Problem-Solving: Ability to handle unexpected situations and challenges effectively.

Working Conditions:

  • Full-time position
  • Office-based, with occasional travel or off-site meetings as required.
  • Flexible hours depending on organizational needs.

Salary : Range $42,000.00 - $48,000.00
