Job Summary
Responsible for handling front office reception and administration duties, including greeting guests, answering phones, handling company inquiries, and sorting and distributing mail. This position is an hourly non-exempt position.
Minimum Job Requirements
1. Preferred Associate Degree from an accredited college or university, or equivalent education and/or experience in social work, customer service, data entry or related field. Equivalent defined as college credits and/or work hours equal to two (2) full years of education and/or full-time work
2. At least two years customer service experience.
3. General knowledge of community resources.
4. Ability to work as a team member as well as independently.
5. Excellent written, verbal, and presentation communication skills.
6. Technical proficiency with a personal computer and various software packages.
7. Ability to lift 30 pounds, sit, stand, and bend.
8. Ability to type at least 30 words per minute.
9. Current Illinois driver’s license and valid vehicle insurance.
10. Must become Gateways to Opportunities Registry member within two (2) months of employment.
11. Obtain and document a minimum of fifteen (15) hours of professional development annually.
12. Completion of INCCRRA CSD training by December 2016, or for new staff within one year of hire.
Summary of Essential Job Functions
· Provide friendly, helpful, welcoming treatment for all guests, treating everyone as a priority.
· Maintain an awareness of guest needs and serve as a first point of contact.
· Answer telephone and route calls; return all voicemails within a reasonable timeframe.
· Maintain accurate logs.
· Mail, fax, or email phone-requested forms.
· Check drop box regularly and date stamp all incoming materials.
· Assist with scanning process for CCAP mail.
· Follow procedures for efficient customer service operations.
· Call appropriate staff for walk-ins as needed.
· Date stamp and file all paperwork before the end of shift.
· Maintain desk area, lobby, and gathering area, reporting any facility needs to management.
· Maintain a high level of confidentiality.
· Participate in community activities including agency events.
· Participate in staff meetings, working to uphold the mission of the Child Care Resource & Referral and YWCA Northwestern Illinois.
· Participate in continuing education activities.
· Communicate with impartiality and respect all parents’/guardians child care choices.
· Be knowledgeable in all YWCA Programs.
· Respond with sensitivity to families’ socioeconomic, cultural, ethnic, and religious backgrounds, individual needs and capabilities.
· Reflect agency image in appropriate manner, behavior and dress.
· Ensure coverage for the front desk daily.
· Perform other duties as required.
