Job Title: RECEPTIONIST
Responsible to: Office Manager
Job Purpose: The Receptionist is responsible for the professional and efficient managing of visitors, clients, telephone calls and messages, as well as a variety of clerical duties, information and referral and the operation and presentation of a professional office.
Primary Duties and Responsibilities
The Receptionist performs some or all of the following:
Front Desk Management
- Greets visitors to the facility, answers questions and directs them to the appropriate individuals
- Responds to inquiries from clients and the public about the organization’s services and facilities
- When on duty, ensures the reception station is staffed 100% of the time
- Signs for deliveries when necessary and notifies recipients
- Ensures knowledge of staff whereabouts and maintains accurate and complete sign-in/sign-out procedures for on-site staff and clients
Communications
- Adept at using all features of the telephone system and voice mail
- Receives telephone calls and promptly, accurately, professionally and courteously assesses received calls/inquiries and directs and/or records and relays messages
- Receives and distributes mail when necessary
- Receives and responds to inquiries on email
Administrative Duties
- Types a variety of forms, letters, reports and memos as needed/requested by the Office Manager
- Organizes and maintains office files and records
- Performs routine office tasks necessary for the operation and presentation of a professional office as observed
- Participates in conferences, training sessions, and meetings relating to areas of assigned responsibility
- Performs other duties as assigned by the Executive Director
