Position: Director of Youth Development Programs
Responsible To: Chief Operating Officer
Location: YWCA Lincoln, 5631 S. 48th Street, Suite 410 Lincoln, NE 68516
Hours: Full-time, exempt. Occasional evenings or weekend dates.
Salary: $55,000
Summary of Position: The Director of Youth Development Programs is responsible for the direct supervision of programs’ staff and volunteers and will provide administrative coordination for all programs including program meetings, assisting in the development of training materials, keeping programmatic records and reporting materials, assisting with production of reports and success stories for grant requirements. Develops and monitors upcoming proposal and report deadlines and prepare renewal applications and stewardship reports as required.
This hands-on role is designed to coordinate education and social service programs and activities for the
YWCA-Lincoln. The Director of Youth Development Programs will coordinate multiple events and projects for the following programs: SMART-Girls Club, Take A Break, Girls Circles, CATCH and future developing programs.
This position must also maintain positive community relations to increase the number of referrals and assist to program services and their development. Must also act as point-of-contact between the local sites and the community by working closely with the Chief Operating Officer and Director of Community & Family Engagement.
The Director of Youth Development Programs must demonstrate flexibility, creativity, possess strong communication oral and verbally, possess organization and time management skills, be equally adept as a team member and independent worker, and efficiently provide assistance and support for any functions related to YWCA-Lincoln. Must also be able to effectively collaborate with internal staff and external organizations, manage priorities in a fast-pace working environment, and understand the nature and challenges of a non-profit organization.
Strategic Planning, Organizational Development and Board Support
- Assist the Chief Operating Officer with the development and implementation of any program strategic planning.
- Assist the Chief Operating Officer with the compliance of policies and procedures as outlined by the Board of Directors for all programs and services.
- Attend Board meetings, committee meetings and community meetings as needed or at the request of the Chief Operating Officer.
- Research and identify best practices for program models and trends in after school programs and services.
- Demonstrate cultural proficiency and sound knowledge of curriculum development.
Financial and Grant Management
· Ensure all invoices and other program documentation are submitted correctly and in a timely manner in collaboration with the Chief Operating Officer and Finance Manager.
- Ensure program and activity expenses are operating within the budget as outlined by the grant requirements and Chief Operating Officer.
- Assist the Chief Operating Officer with grant preparation and reports required by grantors (i.e. research, written reports, writing success stories, reporting financial and program trends).
- Oversee all data entry required for grant maintenance and reporting (i.e. database for students enrolled in all sites, attendance, participation in program and activities, maintenance of daily sign-in/out sheets).
- Responsible for reviewing time cards and sheets prepared by program staff before submitting them to payroll.
Program Development and Maintenance
- Develop a comprehensive annual plan for programs and services under the direct supervision of the Chief Operating Officer.
- Responsible for the daily operation of the program and oversight of staff and volunteers.
- Review and evaluate the overall program routinely and make appropriate changes when advisable.
- Maintain, in conjunction with the LPS administrators, an accurate and up-to-date enrollment and waiting list.
- Ensure that all programs maintain at least minimal enrollment to satisfy grant requirements.
- Maintain, in conjunction with the Chief Operating Officer and Director of Community & Family Engagement, a calendar of activities for programs.
- Develop, in conjunction with the Chief Operating Officer, program and activity logs to assure that standards are being met.
- Review lesson plans prior to implementation to ensure they align with program goals and objectives and meet applicable educational standards.
- Organize and implement, in conjunction with the Director of Community & Family Engagement, regular opportunities for family and community engagement (i.e. family nights).
- Coordinate the procurement of program supplies.
- Work with LPS administrators and school personnel to identify new schools for implementing current and developing YWCA Programs.
Personnel
- Provide leadership and visionary direction for staff and volunteers.
- Assist the Chief Operating Officer with recruitment, hire, training, supervising and evaluating all part-time staff, facilitators, childcare staff and volunteers for Youth Development Programs.
- Report incidences of unsatisfactory performance to the Chief Operating Officer and assist with disciplinary measures or termination of employment, if applicable.
- Provide staff and volunteer development for programs and services and appropriate training in other areas when needed.
- Create a positive work environment for staff and volunteers while developing opportunities for staff recognition.
- Provide coverage at any site when necessary.
- Support the Chief Operating Officer in all operational directives and provide updates and progress reports regarding program.
- Report any emergencies to the Chief Operating Officer or Office Manager when they arise and complete all indecent reports.
- Host staff and preparation meetings with Youth Development staff and volunteers.
Promotion and Fund Raising
· Acting as point-of-contact between all local sites.
- Assist with promotion of the YWCA-Lincoln programs and their activities through public relations including presentations and attending meetings as requested on behalf of the Chief Operating Officer.
- Cultivate and maintain a good working relationship with grantors, community leaders, school personnel, parents, social service agencies, and others whose good will and assistance is needed for the development and maintenance of the programs and services administrated by YWCA-Lincoln.
- Assist the Director of Community & Family Engagement in publishing a regular newsletter.
- Manage social media content for programs and services in conjunction with the Director of Community & Family Engagement and Social Media Intern by coordinating communications (i.e. blog posts, website, email blasts, direct mailings) for any program activities, events and special stories.
· Maintain a current events calendar and report upcoming site events and activities to the Director of Community & Family Engagement and Chief Operating Officer.
· Actively participate with YWCA USA on all development training, conference calls, webinars, events, and activities when applicable.
· Assisting with the planning and coordination of on and off-site activities and events for fundraising efforts.
Other Duties
· Attend bi-weekly staff meetings and other meetings requested by the Chief Operating Officer.
· Answer agency phones to provide quality customer service.
· Assist with the recruitment of Board and Committee members and support the Mission and Programs committee as needed.
· Research community needs as they pertain to women, children, and families and support the elimination of racism.
· Develop relationship with and work closely with donors and major funders, including the United Way.
· Organize volunteers to assist with various labor-intensive projects.
- Fulfill other assignments directed by the Chief Operating Officer as needed.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
· A Baccalaureate degree in education, human services, psychology, sociology, social work, management or related field, or equivalent experience, education and training.
- Strong sense of professionalism, responsibility, accountability, dependability and ownership of projects.
- Familiarity with administrative duties associated with grants and non-profit agencies.
- Familiarity and comfort in working with diverse, underserved and vulnerable populations.
- Sophisticated organizational skills, ability to prioritize, manage multiple tasks and work independently.
- Ability to maintain a high level of attention to detail, including a high standard of accuracy and diligence with the ability to make confidence decisions.
- Strong interpersonal and communication skills both oral and written.
- Commitment to maintaining confidential information.
· Proficient in multiple computer applications as well as email applications such as Google applications (i.e. Google Docs, Gmail), Microsoft office applications (i.e. Word, Excel, PowerPoint), Safari, Chrome and the ability to transition between PC and Mac hardware.
· Proficient in the use of Social Media (i.e. Twitter, Facebook, Pinterest).
· Must be able to pass a background check.
· Valid Driver’s license, own transportation, and proof of car insurance will be required with mileage reimbursement.
