Job Title: Assistant Site Coordinator (Bush After School Program)
Reports to: Site Coordinator, Director of After School Programs
Works with: YWCA: Director of After School Programs, Site Coordinators, Executive Director and other staff members.
Jamestown Public School (JPS): School Principal and staff, and After School Program Coordinator.
Other: Chautauqua Striders, community contractors (both agency and private), and community after school program staff.
Supervises: Activity Leaders, Vendors, & Students
Hours: max of 29 hours/week depending on site
Status: Non-Exempt
Brief Description: Assistant Site Coordinator
The Assistant Site Coordinator assists the coordinator in daily duties. supervises a team of staff at one after school sites operated by YWCA. The assistant is the face of the program in the absence of the site coordinator to families, school administration, & outside vendors, providing quality curriculum, supervision, & representing the brand of the organization with great customer service, team spirit, & conflict resolution abilities.
Responsibilities:
- Ensures compliance with NYS Office of Children and Family Services (OCFS) regulations (i.e. safety, nutrition, discipline, staff, health care plan).
- Organizes and maintains business and student files.
- Manages budget, and assists Director in developing new budget.
- Collects and maintains hard-copy documents and information.
- Maintains daily online database for academic tracking, attendance and reports (EZ Reports).
- Completes Quality Self Assessment/NYSAN evaluation (QSA) on a monthly basis at Partner meetings.
- Completes projects/assignments on time.
- Copes well in unexpected situations with a calm and solution-oriented attitude.
- Recruits students for program.
- Promotes the program to students, parents, school and community by monthly newsletters, announcements, events, media coverage, etc.
- Monitors program while site coordinator is absent from site.
- Is familiar and complies with NYS OCFS regulations re: staff qualifications and training.
- Supervises Program Leaders and Assistants and contractual staff.
- Reviews applications and interviews candidates for positions listed above.
- Obtains references for prospective employees.
- Trains new employees in program operations and NYS OCFS regulations and the 10 other categories required by OCFS.
- Assesses and encourages additional training for staff as needed.
- Conducts staff evaluations and staff meetings on a regular basis.
- Promotes open and honest communication.
- Works well as a team member, models and facilitates the team approach.
- Researches, identifies and develops programming. Defines activities.
- Uses an online database to build activity descriptions and sessions (schedule).
- Develops and implements staffing plans.
- Reviews and approves activity lesson plans of program leaders.
- Develops annual and long-range plans for programming.
- Seeks new opportunities for programming – YWCA and school staff, families, partnerships, community, online, etc.
- Attends and helps implement family nights and YWCA fundraiser events
- Provides orientation for all participants and families.
- Provides and ensures good “customer service” for families that begins daily at the designated student “pick-up” point.
- Communicates effectively with families. Holds parent conferences and meetings as needed.
- Organizes and invites participation in Family Nights, Parent Advisory Groups, etc.
- Advocates for children and families. Makes referrals as needed.
- Involves youth in program planning and decision-making where appropriate.
- Has personal commitment to quality childcare.
- Upholds the YWCA mission, code of ethics, and policies, which include providing a warm and welcoming environment for all.
- Attends and completes training and classes as required, such as School Age Child Care Credential (SACC).
- Purchases supplies as needed.
- Performs other duties as assigned by the supervisor.

Minimum qualifications:
- Associate degree Preferred
- High school/GED Required
- 2 years w/ qualifying credit hours
- 1-2 years experience directly w/ youth
- Knowledge of NYS OCFS regulations
