JOB DESCRIPTION:
Purpose Statement
The job of Transportation Specialist – Shop is done for the purpose of overseeing the technical and organizational aspects of vehicle and equipment preventive maintenance and repairs. This position focuses on effective communication with vendors and other stakeholders, coordination of maintenance schedules, and adherence to safety and compliance standards. The role ensures that district transportation operations run efficiently, equipment is properly serviced, and all safety and fiscal guidelines are maintained in alignment with district and state requirements.
This job reports to the assigned transportation supervisor.
Essential Functions
Skills, Knowledge and Abilities
SKILLS are required to perform multiple, technical tasks with a need to occasionally upgrade skills to meet changing job conditions. Specific skill-based competencies required to satisfactorily perform the functions of the job include: maintaining accurate records; operating standard office and fleet-management software; applying safety practices; inventory management; and vendor communication.
KNOWLEDGE is required of preventive maintenance scheduling, fleet management, purchasing procedures, and transportation safety standards. Knowledge of budget tracking and Arizona DPS/DOT guidelines is preferred.
ABILITY is required to schedule and coordinate multiple projects; work with frequent interruptions; communicate effectively with staff, vendors, and departments; and maintain confidentiality. Flexibility is required to work with a wide range of individuals in varied situations. Problem solving may involve analyzing data and evaluating issues to ensure operational compliance. Ability to work independently and collaboratively with supervisors and technicians is essential.
Responsibility
Responsibilities include: working under limited supervision; coordinating activities with other department staff; and ensuring compliance with district, state, and federal transportation and safety standards. Working Environment
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. - Monitors budget allocations, purchase orders, expenditures, account balances and related financial activity for the purpose of ensuring that allocations are accurate and complying with established financial practices.
- Orients assigned personnel for the purpose of developing knowledge of shop operations and safety skills.
- Assists transportation leadership to ensure that safety standards, guidelines and compliance are being met.
- Performs record keeping and clerical functions for the purpose of supporting department staff and providing up-to-date information with established guidelines and legal requirements.
- Prepares a variety of reports, documents, and correspondence of a confidential and non-confidential nature for the purpose of providing documentation of activities and conveying information in compliances with guidelines and regulatory requirements.
- Responds to inquiries from a variety of internal and external services for the purpose of providing information and/or direction regarding the invoices, billing, status of deliveries, etc.
- Schedules repairs and warranty work with outside vendors; communicates with vendors regarding status of equipment orders.
- Coordinates with transportation leadership for the purpose of ensuring repairs, preventative maintenance and other services are completed in compliance with established guidelines.
- Manages inventory control and purchasing with Parts Technician.
- Maintains and updates conditions list forms to maintain stakeholders up to date on status for pertaining equipment.
- Maintains a variety of manual and electronic files and records (e.g. maintenance records, inspection records, malfunction reports, etc.) for the purpose of providing up to date information and/or historical reference in accordance with established guidelines and legal requirements.
- Supports written materials (e.g. vehicle specifications, budget reports, etc.) for the purpose of providing written reference and meeting mandated standards.
- Schedules all District equipement for necessary repairs and preventative maintenance for the purpose of directing services in an efficient and timely manner.
- Follows up with disposition of vehicle and equipment during auction or asset disposition.
- Serves as a resource to others for the purpose of explaining procedures conveying and/or receiving information as needed for the planning, developing and evaluating of services.
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
