What are the responsibilities and job description for the Agenda Specialist position at Yuma County?
This position is advertised from the minimum to the mid-point hourly rate. Salary will be determined based on education and experience at the time of offer.
NATURE OF WORK
Under general supervision, performs a variety of tasks related to agenda creation, management, and processing and the preparation and processing of confidential and sensitive information; this position has department-specific responsibility.
(Illustrative Only) In coordination with County departments, maintains the Boards and Commissions membership lists including those on which the Board of Supervisors serve; notifies the Board of Supervisors when an appointment/ reappointment is necessary; updates membership lists and forwards membership lists to web master for website posting; prepares agenda items for appointments/reappointments as needed; assists the Clerk of the Board with preparing meeting agendas and informational packets; formats, composes and prepares complex documents and reports; assists with the distribution and maintenance of the records related to the official action of the Board of Supervisors; serves as primary point of contact and liaison with other offices and individuals for issues related to agenda development and management; prepares and processes confidential and sensitive documents and maintains the confidentiality of confidential and sensitive information; assists with processing agenda follow-up assignments and assigning items to staff; assists with processing Special District Annual reports; assists with preparation, maintenance and accuracy of documents and office procedures; provides backup with the online Surplus Equipment Auction, when needed; serves as receptionist during Board of Supervisors meetings on a rotating basis; regular and reliable attendance is required; performs other duties as assigned.
High School Diploma or GED; and three years of administrative, legislative, or analytical experience, preferably in a public sector agency supporting a governing body. Special Requirements: Must successfully pass a background check.
Knowledge of: Yuma County policies and procedures; business English, spelling, arithmetic, punctuation and grammar; office practices and procedures; document retention and destruction regulations; filing systems.
Skill in: Preparing reports; operating various types of office equipment; creating filing systems; dealing effectively with public inquiries and public records requests; establishing and maintaining effective working relationships with employees, other agencies and the public; communicating effectively verbally and in writing; assigning and leading the work of others.
Ability to: Read, write, research, synthesize data and create detailed reports; plan, prioritize, manage and respond to multiple assignments in a fast-paced environment; use modern office equipment and computers; lift up to 20 lbs.
Work Environment
The usual and customary methods of performing the job’s functions require the following physical demands: occasional lifting, carrying, pushing and/or pulling; some stooping, kneeling, crouching and/or crawling and significant fine finger dexterity; generally the job requires 60% sitting, 20% walking and 20% standing; working at a computer monitor for extended periods required; the job is performed under minimal temperature variations and in a generally hazard free environment.
