The key roles and responsibilities are to ensure that the department run’s efficiently and effectively by providing cross-functional administrative support in a fast-paced work environment. The Executive Assistant exudes a professional and positive attitude with a solution-oriented mindset to foster an overall high-performing work environment for the assigned team(s).
Here’s How You’ll Spice Things Up:
High-Performance Calendar Management
- Manages and serves as the gatekeeper for the assigned executives’ calendar needs across multiple time zones and Business Market Unit (BMU) partners, including global travel, global meetings, weekly meetings, and day-to-day meeting requests.
- Proactively anticipates the needs of your supervisor and takes the initiative to perform tasks with little to no supervision and provide innovative ideas and solutions when needed.
Departmental Needs
- Route or answer correspondence not requiring supervisor’s attention; analyze situations and respond accordingly.
- Organizes team meetings, events, and birthday/anniversary celebrations.
- Review and track expense reports, code, and track invoices.
- Manage and review department budgets.
- Partner with the other Administrative & Executive Assistants.
- Provides support for visiting functional team members from other markets.
- Sets up new local and international vendors for cost center accounts in partnership with Accounts Payable.
- Support and assist assigned executives with outside boards as required
- Maintain an open line of communication between yourself and your counterparts within Yum and Business Marketing Units (BMUs)
Travel Arrangements & Visas
- Creates all travel arrangements, including global flights and lodging.
- Obtains and oversees all visa documentation for travel in partnership with the immigration team.
- Coordinates travel agendas and provide itineraries.
- Monitors and adheres to all international travel regulations when organizing travel.
- Work with travel Visa’s and Passports
What You Bring to the Table:
Education/Certifications
- Preferred: Bachelor’s degree
Experience
- 4-5 years of Executive Assistant experience with extensive working knowledge of general office practices
- Experience working with coordinating international travel coordination/management
- Experience with Visa application & passport renewal
- Experience assisting in planning events and large meetings
- General understanding and sense of business as well as of the broader departments and how they interact with one another
- Strong software skills to include Microsoft Word, Excel and PowerPoint and the ability to compose, type and proof a variety of letters, documents, and presentations with minimal supervision
- Positive attitude and leadership/solution-oriented mindset
- Flexibility, detail and results orientation, and strong follow-through skills
- Highly organized with the ability to perform multiple tasks and handle changing priorities successfully in a fast-paced environment with little direct supervision, with the ability to remain calm under pressure
- High degree of integrity when dealing with confidential and sensitive information
- Ability to communicate effectively within all levels (both written and verbal) and excellent interpersonal and leadership skills
- Exudes a strong sense of personal Integrity and work ethic
- Ability to see the bigger picture and skills to help facilitate that vision
- Strong collaborator
- Prior experience supporting executives
