TITLE: ACADEMIC SERVICES BUSINESS ASSISTANT
JOB SUMMARY: This position works under the direction and supervision of the Executive Directors of Academic Services. The candidate who fills this position must maintain a variety of department records, demonstrate proficiency in financial and office software, have the ability to organize and maintain multiple ongoing projects, and have exceptional customer service skills.
JOB SUMMARY: Reports to the Executive Director of Elementary Academic and/or the Executive Director of Secondary Academic.
ESSENTIAL FUNCTIONS:
- Plans, organizes, and performs administrative support functions related to activities and operations of the Academic Services office.
- Assist with purchasing and maintaining financial records for district funds (bond, general, and federal).
- Provides support and assistance to gifted education program coordinator.
- Works collaboratively with site librarians to ensure site resources are received in a timely manner.
- Maintains protocols related to district inventories related to academic services, as well as bond, general, and federal funds.
- Assists with professional development records, including but not limited to site and district plans, sign in sheets, and Vector Training.
- Receives academic services, deliveries, and communicates with coordinators and sites accordingly.
- Willing to work collaboratively within the team to ensure the needs of students, teachers, and administrators are met in a timely manner.
- Perform other duties and responsibilities as assigned by the Executive Directors of Academic Services.
EDUCATIONAL/TRAINING REQUIREMENTS:
- High School Diploma
- 3 or more years of experience working in a professional office setting
- Demonstrate working knowledge of basic office procedures, basic accounting, typing, and a variety of computer applications (e.g., Word, Excel, PowerPoint, etc.)
- Command of the English language, both written and verbal.
- Perform difficult, complex, and confidential responsible clerical and secretarial work independently and effectively.
- Such an alternative to the above qualification as the Executive Directors of Academic Services may find appropriate and acceptable.
WORKING CONDITIONS:
- Generally, the job requires 80% sitting, 10% walking, and 10% standing.
- Requires fine finger dexterity to use office equipment, office technology, and maintain accurate filing systems.
- Effectively coordinate a variety of difficult, technical administrative functions at a level requiring extensive independent decision-making within established rules, policies, and procedures
- Must regularly lift and/or move objects up to 10 pounds and occasionally lift and/or move objects up to 50 pounds.
- May experience constant interruptions, inflexible deadlines, and changes to normal routines.
TERMS OF EMPLOYMENT:
- 237 day contract, 8 hours per day
- 1.290 ratio
