Job Overview
We are seeking a highly organized, detail-oriented, and professional Medical Coordinator to join our personal injury law firm. This position supports injured clients throughout the medical-treatment stage of their cases, including coordinating appointments, communicating with clients and medical providers, obtaining and organizing medical records and bills, tracking treatment progress, assisting with medical liens and balances, and supporting attorneys and legal staff with case preparation.
The ideal candidate is responsible, patient, discreet, and able to communicate clearly and professionally in a fast-paced legal environment. This position requires strong attention to detail, excellent follow-up skills, sound judgment, and the ability to handle sensitive client and medical information with confidentiality and care.
Key Responsibilities
- Coordinate medical appointments, follow-up visits, imaging appointments, specialist referrals, physical therapy, chiropractic treatment, and other treatment-related scheduling.
- Communicate with clients in English and Chinese regarding treatment status, appointment details, medical records, medical bills, balances, liens, and case-related medical updates.
- Communicate professionally in English and Chinese with medical providers, clinics, hospitals, imaging centers, billing departments, lien departments, and other related contacts.
- Request, collect, review, organize, and maintain medical records, billing records, treatment notes, imaging reports, prescriptions, diagnosis reports, operative reports, and related medical documents.
- Track client treatment progress and proactively follow up with clients and providers to obtain outstanding records, bills, balances, liens, and treatment updates.
- Maintain accurate medical-status notes, treatment timelines, provider information, balances, liens, and related case updates in the firm’s case management system.
- Assist with reviewing medical bills, provider balances, liens, reductions, payment issues, and related documentation when necessary.
- Assist with translation or interpretation for clients during medical-related communications when needed.
- Work closely with attorneys, paralegals, case managers, and legal staff to support case development, demand preparation, settlement negotiations, litigation support, and overall case progress.
- Follow firm procedures, meet deadlines, provide timely updates, and handle confidential client, medical, and case information with professionalism and discretion.
Qualifications
- Fluency in English and Mandarin Chinese is required.
- 1 year of experience in client-facing communication, internal team communication, or other high-volume communication roles.
- 1 year of experience in scheduling, follow-up, negotiation, budgeting, and professional problem resolution.
- Ability to maintain accurate medical billing records, lien records, payment documentation, and related expense records.
- Ability to use Microsoft Office, Outlook/email, OneDrive, PDF software, AI-assisted tools, and case management systems.
- Ability to manage multiple tasks, follow up consistently, and meet deadlines in a fast-paced environment.
- Ability to handle sensitive client and medical information with confidentiality and discretion.
- Ability to work independently while also collaborating effectively with a team.
- Must be able to communicate respectfully and calmly with clients, medical providers, attorneys, and coworkers.
Preferred Skills
- Cantonese language ability is strongly preferred.
- 1 year of experience in a law firm, personal injury practice, healthcare office, medical office, or healthcare-related administrative role is preferred but not required.
- 1 year of experience in assisting with medical bill review, lien reduction, balance negotiation, or payment-related issues is preferred but not required.
- 1 year of experience in communicating with medical providers, billing departments, lien departments, or insurance-related contacts is preferred but not required.
- Familiarity with personal injury case workflow, including treatment tracking, medical chronology, medical specials, liens, demand preparation, or settlement preparation, is preferred but not required.
