General Summary:
This position works under the direction of the Chief Human Resources Officer. Provides administrative support for a variety of functions within the Human Resources department and the Executive Team. This is a safety sensitive position when around patients.
Duties & Responsibilities:
- Opens and closes central office M-F.
- Greets callers professionally and refers calls appropriately.
- Maintains the allowance check out sheets and processes paperwork and monies as required including giving regular deposits to accounting department.
- Serves as a primary point of contact for administrative operations and assists with process improvement initiatives.
- Serves as the primary technical liaison and super-user for high-volume office hardware and administrative technology.
- Conducts research, gathers and analyzes data, develops reports, utilizes dashboards, and provides executive summaries and recommendations to support organizational decision-making, strategic planning, and special projects.
- Provides administrative and project support to the Executive Team and other departments as assigned.
- Prepares executive summaries, board materials, presentations, and briefing documents.
- Maintains reporting systems (visitor logs) tracks organizational metrics, prepares recurring operational and performance reports, and ensures timely distribution to leadership and stakeholders.
- Assists with reconciliation, tracking, and reporting of designated administrative expenditures.
Qualifications:
Knowledge, Skills & Abilities:
- Strong written and verbal skills; ability to read, analyze and interpret professional journals, technical procedures and government regulations.
- Ability to effectively present information and respond to questions from managers, patients, licensed associates and the general public.
- Ability to define problems, collect data, establish facts and draw valid conclusions.
- Basic understanding of calculation of figures.
- Ability to perform data entry, typing, and word processing.
Education and/or Experience:
Bachelor's degree in Business Administration, Healthcare Administration, Communications, Human Resources, or related field preferred. High School diploma or equivalent required. Minimum 2-3 years of progressively responsible administrative, executive support. project coordination, or operations experience preferred. Must be detail oriented and possess good organizational skills. Must have knowledge of business English, spelling, punctuation and effective composition. Typing 50-60 WPM or more is preferred. Proficiency in Microsoft Office Suite, including Excel, PowerPoint, and reporting tools. Ability to manage multiple priorities while maintaining confidentiality and professionalism.
Physical Demands and Work Environment
Team members are required to sit, stand, talk, see, walk and reach with hands and arms. Must maintain a current tuberculosis skin test. While performing the duties of this job, the team member is occasionally exposed to outside weather conditions. The noise level in the work environment is usually moderate.
