Learn & Earn Program Assistant

Report to: Workforce Development Program Manager

FLSA Status: Exempt

The Learn & Earn Program Assistant supports the implementation and daily operations of YES’ workforce development programming. This role provides worksite management, administrative coordination, student support, and logistical assistance to ensure smooth program delivery and accurate program documentation.

During the summer Learn & Earn program, the Program Assistant serves as the primary operational support for participating worksites and students. Responsibilities during this period include conducting weekly worksite visits, coordinating student meal deliveries, managing attendance and timesheet documentation, and supporting communication between students, worksites, and program leadership.

During the school year, the role focuses on planning and preparation for the upcoming summer program, including onboarding students and worksites, coordinating orientations, organizing program logistics, and preparing materials and documentation necessary for program implementation.

This position requires strong organizational skills, attention to detail, and the ability to manage multiple systems while working closely with youth, families, worksites, and community partners.

The role more specifically requires:

Student and Worksite Onboarding

  • Manage student intake documentation and onboarding materials
  • Track completion of student paperwork and communicate with students and families regarding missing documentation
  • File and submit required student documents electronically and maintain organized program records
  • Coordinate student participation in program activities, workshops, and special events
  • Serve as a primary point of communication for students regarding programming updates and expectations
  • Support all other communication with parents and guardians when appropriate


Worksite Coordination and Site Visits

  • Support recruitment and coordination with participating worksites and community partners
  • Manage worksite documentation tracking and follow-up as needed
  • Conduct weekly site visits to partner worksites
  • Serve as support for site visits for Partner4Work (P4W) worksite visits
  • Maintain communication with worksites regarding program expectations and documentation needs
  • Provide weekly email updates and communication to participating worksites

Orientation and Event Coordination

  • Support planning and coordination of program orientations for students and worksites
  • Assist with organizing program events, worksite onboardings and trainings, and professional development sessions
  • Support planning and coordination of extracurricular program activities
  • Help manage event logistics including materials, scheduling, and communication

Program Logistics and Administrative Support

  • Assist with program setup and breakdown, including room preparation and materials organization
  • Coordinate student meal deliveries during program activities
  • Support ordering and tracking of program supplies and materials
  • Assist with preparation of materials for workshops, trainings, and events
  • Attend and support the coordination of the end-of-summer out-of-state program trip (required)
  • Provide general administrative support to the Learn & Earn Program Manager


Skills

  • Experience working with youth in educational, community, or program settings
  • Strong organizational and administrative skills, including the ability to manage multiple deadlines and track detailed documentation
  • Experience managing payroll, timesheets, or workforce program documentation
  • Familiarity with research methods
  • Strong problem-solving and decision-making skills
  • Experience working with multiple stakeholders including youth, families, and community partners
  • Familiarity with research methods and data tracking practices
  • Strong written and verbal communication skills
  • Proficiency with Google Workspace (Docs, Sheets, Drive, etc.)
  • Ability to learn and navigate multiple data systems and platforms
  • Valid driver’s license, access to a reliable vehicle, and willingness to travel to worksites (mileage reimbursable)



Credentials

  • Bachelor’s Degree Preferred
  • Highschool Diploma with 2-4 years of reception and office management/ administration experience accepted
  • Current Pennsylvania Act 3/34 and FBI Clearance


Compensation

  • $40,000 - $45,000
