Responsibilities
- Manage front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Handle calendar management and scheduling for team members and executives using productivity software and Google Workspace tools
- Perform data entry tasks with accuracy using spreadsheets, Word processing, and other Microsoft Office applications
- Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents and records
- Assist with office management tasks such as supply inventory, equipment maintenance, and general administrative support
- Provide customer service support by responding promptly to client inquiries and facilitating effective communication
- Support bookkeeping activities including basic bookkeeping tasks using QuickBooks or similar accounting software
Requirements
- Must be able to type 60 words per minute (WPM)
- Technologically savvy and comfortable using different computer systems and/or applications
- Proven experience in office management or administrative roles with strong clerical skills
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and productivity software
- Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Exceptional communication skills, both verbal and written, including phone communication and client interaction
- Bilingual abilities are highly desirable to assist diverse client needs
- Experience with multi-line phone systems, data entry, proofreading, filing, and calendar management is preferred
- Knowledge of medical or dental receptionist duties is a plus; personal assistant experience is also valued
- Technical proficiency in office equipment such as printers, scanners, and fax machines is essential
