We're a boutique law firm focused on representing dentists and veterinarians across the country in a full range of business matters seeks a highly motivated full-time (40 hours/week, Monday – Friday) client services coordinator for its Philadelphia office to work as part of our legal team.

To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, and personnel information while exercising professionalism and discretion. Duties and responsibilities include, but are not limited to, the following:


  • Participate in client onboarding and initial client engagement, including intake calls, preparation and collection of engagement letters, and direct communication with clients regarding initial questions and concerns
  • Set up new matters in the firm’s practice management software; maintain practice management databases and generate reports to support the coordination, triage, and assignment of new matters
  • Coordinate and conduct firm conflict checks
  • Track the status of ongoing client matters and collaborate with attorneys and paralegals to ensure all deadlines are met
  • Take notes during meetings and manage post‑meeting follow‑up
  • Assist with the production of firm podcasts, including coordinating with the production team, scheduling guests, and managing podcast releases
  • Act as a liaison between attorneys and third parties, including insurance providers, CPAs, lenders, and brokers


‍The ideal candidate is a highly motivated individual who exhibits confidence, strong organizational and communication skills, professionalism and a positive attitude as well as a command of technology with an aptitude to problem-solve and learn new systems/applications. This client intake coordinator will work independently and as a key member of the legal team, working closely with the attorneys in the office as well as clients and other third parties. The position includes significant opportunity for growth for an individual who is eager to learn and willing to take on additional roles within the law firm.

Candidates must possess strong verbal, written and interpersonal skills; a positive attitude; a strong work ethic; excellent communication skills; strong organizational skills; a good command of technology with an aptitude to problem-solve and learn new systems/applications; top quality work product; attention to detail; the ability to work efficiently and independently as well as the ability to work cooperatively as valued team member; the ability to prioritize workflow, meet deadlines and manage multiple projects in a fast-paced environment. A Bachelor’s degree is required.
