The ideal candidate will demonstrate excellent customer service, organizational skills, and the ability to handle sensitive information with confidentiality.
Essential Responsibilities
Client Interaction:
- Greet clients, visitors, and staff warmly, ensuring a positive first impression.
- Answer and direct phone calls promptly and professionally.
- Assist clients with appointment scheduling, rescheduling, and cancellations.
- Provide information about clinic services and policies.
- Manage client check-in and check-out processes, including verifying insurance and collecting co-pays.
- Maintain and update client records accurately in the clinic's management system.
- Process and organize paperwork, including intake forms, insurance authorizations, and billing-related documents.
- Coordinate communication between clients and clinicians, ensuring smooth scheduling and follow-ups.
- Monitor and maintain a clean and organized reception area.
- Manage inventory of office supplies and order as needed.
- Assist with faxing, copying, and scanning documents.
- Adhere to HIPAA regulations and maintain the confidentiality of all client records and information.
- Ensure all administrative processes comply with clinic policies and procedures.
- Other duties as assigned.
- Front desk, 1 year experience required.
- Associated degree, preferred but not required.
- Experience working in the mental health field.
- 1-3 years of experience in a similar role (Preferred).
- Excellent written and verbal communication skills.
- Proficiency in the use of office equipment.
- Ability to multi-task, and to prioritize and execute tasks in a fast-paced environment.
- Experience with Apple IOS systems.
- Strong organizational and project management skills.
- Computer competence (Microsoft Word, Excel).
Schedule: Monday through Friday 830am-5pm.
Salary : $22 - $26
