Your After School (YAS) provides high-quality after-school enrichment programs across multiple school districts. We partner with school communities to deliver engaging, reliable programming. We are seeking a detail-oriented Contractor Scheduling Coordinator to support scheduling, contractor coordination, and smooth day-to-day operations across our programs.
About the Role
The Contractor Scheduling Coordinator plays a critical role in ensuring programs are fully staffed and schedules are accurate across all school partnerships. This position is responsible for coordinating contractor schedules, aligning staff skills and availability with school needs, and maintaining organized records that support efficient operations.
This role works closely with program managers, site directors, customer service, and HR to support contractor onboarding, scheduling, communication, and tracking.
Key ResponsibilitiesScheduling & Coordination
- Use the Mainstreet Site Platform along with Google Sheets/Microsoft Excel to create, maintain, and update weekly and seasonal schedules across multiple school locations.
- Match contractors to classes based on skills, interests, availability, school preferences, and logistical needs.
- Coordinate coverage for open positions, absences, and schedule changes, including securing substitutes as needed.Track instructor assignments, class rosters, site changes, and program timelines with accuracy and consistency.
Contractor Communication & Support
- Serve as a primary point of contact for contractors regarding schedules, assignments, and day-to-day coordination.
- Communicate schedule updates promptly and ensure instructors and school partners have access to the most accurate information.
- Collaborate with the Customer Service team to address contractor-related issues impacting schools, families, or program delivery.
- Proactively support contractors to foster positive working relationships and reliable program coverage.
Recruitment, Onboarding & Retention Support
- Assist HR with contractor recruitment, onboarding, and documentation processes.
- Help communicate expectations, policies, and procedures to contractors to support consistency and compliance.
- Support contractor engagement and retention efforts through clear communication and responsive coordination.
Time Tracking & Administrative Support
- Maintain accurate records of contractor time commitments and service delivery.
- Coordinate with HR or payroll to support timely and accurate monthly contractor payment processing.
- Maintain organized digital records that support coordination across scheduling, HR, and customer service teams.
Qualifications
- Strong proficiency with Google Sheets and Microsoft Excel, including formulas, sorting, and managing complex spreadsheets.
- Excellent attention to detail, organization, and follow-through.
- Ability to manage multiple schedules and priorities across different schools and programs.
- Clear, professional written and verbal communication skills.
- Experience in scheduling, operations, administrative support, or contractor coordination preferred.
- Experience in education, after-school programs, or youth services is a plus.
- Collaborative, proactive, and solution-oriented mindset.
Pay: $22.00 - $26.00 per hour
Expected hours: 30.0 – 40.0 per week
