Scheduling Assistant

Arts for Learning Virginia

Location: Norfolk, VA (Hybrid)

Schedule: Generally Monday-Friday, 8:30 a.m. to 4:30 p.m., with occasional evenings and weekends for events and programs

Pay: $15/hour (approximately $31,200 annually)

Position Type: Full-Time

At Arts for Learning Virginia, we believe every child deserves opportunities to learn, create, and connect through the arts. Every day, our team works with schools, artists, libraries, community centers, and families to make arts experiences accessible, engaging, and meaningful. We're looking for a Scheduling Assistant who loves organizing details, working with people, and helping great programs happen. If you're the kind of person who color-codes calendars for fun, enjoys solving scheduling puzzles, and gets excited about supporting artists and educators, we'd love to meet you.


What You'll Be Doing

You'll be the behind-the-scenes hero who helps make our programs run smoothly.


On any given day, you might:

  • Schedule performances, workshops, residencies, and professional development programs
  • Communicate with schools, community partners, and teaching artists
  • Coordinate calendars and artist availability
  • Send confirmations, schedules, and program information
  • Help solve scheduling challenges when plans change
  • Maintain accurate records and program data
  • Process program paperwork, contracts, and invoices
  • Support special events, showcases, and community programs
  • Work closely with our program team to make sure everyone has what they need to succeed


You'll be one of the first people our schools and artists connect with, so a positive attitude and strong communication skills are essential.

✅ Is comfortable with Microsoft Office, especially Outlook, Word, and Excel

Experience in education, nonprofit organizations, customer service, event coordination, administration, or arts organizations is a plus, but we care just as much about attitude, curiosity, and willingness to learn.
