Position Summary
The Manager, Operations leads all operational systems and logistics for YPIE Nashville. This role is responsible for ensuring that day-to-day program execution runs smoothly while also building and improving systems that enable scale and impact. Effective operational systems directly support strong student engagement and program outcomes.
This role combines hands-on execution with strategic ownership, and is ideal for someone who thrives in a fast-paced, entrepreneurial environment and enjoys building systems that drive results.
In the first six months, the top priorities for this role are:

Location(s): In-person across multiple program sites in Nashville, TN
Hours: Full-time, 12 months
Salary Range: $60,000 - $72,000 depending on qualifications, expertise, experience
Reporting to: Senior Director, YPIE Nashville
PTO: 1 week around new year, 1 week at end of school year, Summer Fridays, plus accrued vacation, personal, and sick time
Start Date: July 1, 2026 (flexible)

- Establish consistent, high-quality daily operations of the College Zone
- Build and refine systems for attendance, communication, and program logistics
- Successfully execute key program events and milestones
- Identify and implement improvements to increase efficiency and student experience
College Zone Operations
- Oversee the daily operations of the YPIE College Zone, ensuring a structured, welcoming, and academically supportive environment.
- Manage logistical systems, including:
- Inventory & Supplies: Coordinate ordering, stocking, and distribution of materials, including computers and devices.
- Daily Operations: Consistently execute daily operational routines, including opening and closing procedures.
- Student Engagement: Administer the Scholar Dollars reward system and manage the Swag Store.
- Facility Management: Maintain room usage schedules and ensure the upkeep of all supplies.
- Act as the primary point of contact for students, staff, and volunteers, facilitating smooth day-to-day operations and “directing traffic.”
- Own and continuously improve operational systems across YPIE Nashville.
- Design and implement processes for:
- Student tracking (attendance, enrollment, participation).
- Communication systems (notifications, reminders, follow-ups).
- Monitor effectiveness of systems and make data-informed improvements.
- Ensure operational readiness for program growth and expansion.
- Oversee program logistics across school-day and after-school programming.
- Ensure accurate tracking of student attendance, participation, and records.
- Support the recruitment process for a new cohort of YPIE students each year.
- Manage and track all assets and devices.
- Manage student accommodations.
- Oversee emergency response plan.
- Coordinate volunteer and student tutor logistics.
- Lead planning and execution of key events, including:
- Student orientations, inductions, and showcases.
- College visits and trips.
- FAFSA and college application events.
- Competitions and special programs.
- Own event logistics end-to-end (planning, coordination, execution, follow-up).
- Ensure strong student participation and smooth execution.
- Capture photos of special events and student highlights and help with external communications.
- Coordinate logistics with partners (e.g., Meharry Medical College, transportation providers).
- Support communication and coordination with volunteers, including Essay Coaches, tutors, and science research mentors.

To be eligible for consideration, applicants should have:
- Education and Experience
- Bachelor’s degree
- 3–5 years of experience in operations, program management, or logistics
- Skills and Knowledge
- Demonstrated attention to detail
- Proven organizational and program tracking skills
- Experience with Google platform and comfortable with technology
- Personal Attributes
- Ability to roll with the punches
- Flexibility to work some evening and weekend hours based on program needs
- A car and willingness to travel to program site(s)
- Education and Experience
- 3-5 years building operational systems and evaluating effectiveness
- Skills and Knowledge
