What are the responsibilities and job description for the Wrap Project Coordinator position at Yoder Graphic Systems?
Wrap Project Coordinator
Yoder Graphics | Wadsworth, OH | Full-Time | $58,000–$72,000/year
About Yoder Graphics
We've been doing business-critical marketing since 1976 — back when business forms were carbon copy. We're veteran owned, family operated, and recently expanded to keep up with demand. Our clients trust us with their brand across design, print, promo, apparel, wraps, signs, and fulfillment.
We run five divisions under one roof in Wadsworth, Ohio: Design, Wraps, Print, Promo, and Apparel. Our customers count on our team to make them look picture perfect.
The Role
This role runs the operations of our Wraps & Large Format division.
You won't be installing. You won't be quoting. You'll be coordinating everything that happens once a job is on the books — through design, through production, through install, all the way to the customer's driveway.
You'll be the single point of coordination for every wrap job. You'll work with our sales and estimating team to understand what was quoted. You'll work with design to keep artwork on track. You'll work with production to keep prints on schedule. You'll work with our lead installer to schedule installs, drop-offs, and pickups. And you'll keep the customer informed the whole way through.
This is for someone who knows the wrap industry well enough to coordinate it intelligently — and who gets satisfaction from running a tight, on-time, on-budget operation.
What You'll Do Day-to-Day
You'll own the project coordination lifecycle for every wrap and large format job:
- Job Intake — Receive new jobs from sales or estimating. Confirm scope, timeline, and what was quoted.
- Design Coordination — Communicate with the design team on artwork specs, deadlines, and revisions. Keep designs moving toward production without bottlenecks.
- Production Coordination — Work with production to schedule prints, confirm materials, and keep output aligned with install dates.
- Install Scheduling — Partner with the lead installer to sequence installs, assign vehicles and sites, and confirm the install team has what they need.
- Customer Logistics — Coordinate vehicle drop-offs, install windows, and pickups. Set clear expectations with customers and keep them updated.
- Estimate Awareness — Review estimates so you understand the budget for every job you manage. Flag when schedule, scope, or material changes put the estimate at risk.
- On-Time, On-Budget Tracking — Monitor every job against schedule and estimate. Flag variances early so we can adjust before they become losses.
- Customer Communication — Clarify scope, set realistic timelines, and send proactive updates through the life of the project.
- Material & Vendor Coordination — Confirm materials are ordered and in-house when installs need them. Manage vendor relationships for wrap-specific inventory.
- Close-Out — Collect install photos, upload documentation, share with marketing, and loop back with sales for follow-up.
On any given day you'll also:
- Keep job files current and organized in our systems (Antera)
- Feed variance data back to sales and estimating to tighten future quotes
- Walk jobs on occasion when coordination requires being on-site
Who We're Looking For
You know the wrap industry well enough to coordinate it intelligently. You don't need to install wraps, you don't need to quote them — but you need to understand them well enough to make smart scheduling, material, and timeline decisions, and to catch problems before they hit the customer.
This is a coordination role, not an install role. If you've worked in a wrap shop, a sign shop, a print shop, or a related production environment — and you're organized, process-driven, and good with people — this role is built for you.
Required
- 3 years in the wrap, sign, print, or large format industry in a coordination, production, scheduling, or operations role
- Solid working knowledge of wraps and large format — films, materials, install conditions, production timelines — enough to coordinate jobs intelligently and catch obvious problems
- Strong communication skills — you'll be talking to customers, designers, production, installers, and suppliers every day
- Comfortable running multiple projects at once without dropping any of them
- Proficient with Microsoft Office 365 and comfortable learning shop management software (we use Antera — we'll train you)
- Strong written communication — clean emails, clear scheduling notes, accurate records
- Valid driver's license
Preferred (not required)
- 5 years in a wrap shop, sign shop, or print production environment
- Prior project coordination or operations experience in a cross-functional production environment
- Familiarity with Antera, ShopVOX, PrintSmith, or similar shop management software
- Exposure to estimating workflows (you won't estimate, but it helps to understand how quotes get built)
- Experience with fleet accounts, multi-vehicle rollouts, or environmental graphics projects
The Kind of Person Who Thrives Here
- Reliable. Shows up. Does what they said they'd do.
- Organized by habit, not by crisis.
- Comfortable juggling ten open jobs without dropping any of them.
- Sees the whole project, not just their piece of it.
- Calm under pressure when schedules shift.
- Asks questions when something doesn't make sense.
- Takes ownership when something goes wrong, then fixes it.
- Polite, honest, and professional.
Performance Expectations
We're direct about this part. To make sure we're both a good fit, we run structured performance reviews at 30, 60, and 90 days.
- 30 days — You've learned our team, our systems, our core product mix, and our job flow. You're coordinating smaller jobs independently.
- 60 days — You're running the full pipeline — design through delivery — on standard jobs. You're catching schedule and estimate issues before they become problems. You're handling customer calls without escalation.
- 90 days — You're producing at full capacity. Clean schedules. On-time installs. On-budget jobs. Customers asking for you by name.
We provide daily training to help you hit those marks. Self-starters will hit them early. If you're hitting those marks, you're doing a great job. If you're not, we'll have a straight conversation about whether this is the right fit.
Team bonus opportunities unlock after 90 days of hitting performance expectations. Details covered in person.
