Child Care Enrollment Specialist - Registrar

GENERAL FUNCIONS:

This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living, and social responsibility. Under the direction of the Association Director of Business Operations, and in accordance with Association policies, the Child Care Enrollment Specialist is part of a team that is responsible for organizing, processing, and maintaining all camp and school age registrations and related records while providing exceptional customer service to current and potential members in harmony with the mission statement and policies of the YMCA of Greater Waukesha County.

ESSENTIAL DUTIES & RESPONSIBILITIES: 

1. Process all child care enrollments, including new registrations, transfers, and withdrawals while maintaining an organized records system.
2. Maintain accurate and up-to-date enrollment records and student information.
3. Serve as a primary point of contact for parent communication regarding enrollment, billing, and account status.
4. Prepare weekly branch and association enrollment reports to communicate availability with front line staff.
5. Communicate payment reminders via email and phone call where appropriate and ensure all past-due balances are fulfilled in a timely manner.
6. Monitor accounts and follow up on past-due balances in a timely and professional manner.
7. Prepare and submit third party billing reports and communication with families receiving third-party support on a regular and ongoing basis.
8. Responsible for strict adherence to all YMCA of Greater Waukesha County department policies and procedures related to safety, privacy, rules, and other regulations.
9. Serve as a backup person for the Auditor – Accounting Services and Auditor - Member positions.
10. Perform other duties as assigned.

EDUCATION AND EXPERIENCE: 

1. High school diploma or equivalent.
2. Proficiency in Microsoft Word and Excel.
3. Strong attention to detail and accuracy.
4. Excellent written and verbal communication skills.
5. Ability to manage sensitive information with confidentiality.
6. Ability to multitask and meet deadlines in a fast-paced environment.
7. Ability to handle difficult conversations regarding billing in a professional manner.
8. Must be self-motivated, demonstrate sound decision-making skills, and require minimal supervision.
