What are the responsibilities and job description for the SAS Program Coordinator position at YMCA OF GREATER HOUSTON?
YMCA International Services is a unique branch of the Y of Greater Houston and seeks to meet the needs of Houston’s significant refugee and immigrant communities. We provide comprehensive programs that focus on building human assets and fostering self-sufficiency. As our Social Adjustment Program Coordinator, you will play an integral role in helping refugees, asylees, Cuban/Haitian Entrants, and victims of human trafficking gain access to a wide range of employment services with the goal of becoming self-sufficient.
Duties /Responsibilities
- Manage program staff, which include case managers, clerk, quality assurance auditor, program interns/volunteers
- Monitor program outcomes to ensure that program is successful and remains in compliance
- Provide feedback, address conflicts or struggles, and solve problems to ensure program is successful
- Work with the director in developing group intake orientations, group cultural orientations (CO) and outreach presentations. Coordinate and provide presentations of outreach, group CO and group intake orientations
- Network with the community providers to find relevant resources for clients: housing, clinics, medical services, dental services, etc.
- Audit staff files and review case notes for appropriate, timely follow-up and attention to detail to ensure compliance
- Oversee daily activities of the program including client eligibility, referrals, assign cases to case managers, coordination of group and individual intakes
- Recruit volunteers and maintain partnerships to provide training, interpretation, and other supportive services.
- Attend and participate in collaborative meetings as agency representative with other stakeholders
- Review Client Track data entry, outcomes, case closures to ensure compliance
- Work with director to assist case managers to troubleshoot cases
- Provide direct case management services to hard-to-serve clients and those in crisis
- Attend relevant trainings and webinars
- Work with director in developing and oversee teaching protocols that promote self-sufficiency of clients
- Work with director in developing and implementing client satisfaction surveys
- Work with director in developing trainings to case managers on best practices, provide trainings and/or work with community providers to provide appropriate trainings
- Train new staff hired and provide orientation about YMCA International Services programs
- Comply with the agency’s policies and standards. Reports suspicious and inappropriate behaviors and policy violations.
- Follows mandated abuse and incident reporting requirements.
- Meets timelines and deadlines related to supporting systems and employee compliance. Example includes but are not limited to Kronos Workforce Ready for review and approval of time sheets
- Reception of clients at airport and transportation to client apartments as assigned; rotation assignments during food distributions.
- Other duties as assigned
Outcomes
- Oversee the enrollment and case management of 1,000 clients per year to ensure outcomes are met
- Provide monthly report of Quality Assurance which includes data entry in RMS and Client Track, audit files 5% of new and 5% of closed files in the program to ensure compliance
- Coordinate 5 group orientations topics for refugee population per year
- Coordinate 5 outreach to the refugee population and/or community partners
- Gather data and collaborate in writing quarter reports to the funder
- Monitor client eligibility for services and requested transfer of services
Excellent written and verbal English communication skills including being comfortable speaking in public- Ability to understand program policies and make informed decisions
- Flexibility, dependability and excellent work ethic
- Understanding of and sensitivity to other cultures
- Proficient with various computer programs (Microsoft, Excel, Word) and accurate data entry
- Ability to manage time and resources. Team player.
- Ability to work occasional evening or weekend hours as necessary
- Highly self-motivated, responsive and a good trouble-shooter
- Bachelor’s in social work or other social service field and/or 2-3 years relevant professional experience required
- Valid driver’s license, clean driving record, automobile liability insurance, and a vehicle
- Fluency (spoken, written, and reading) in one of the current refugee languages is preferred
Office Hours: Monday through Friday, 8:30am – 5 pm
Pay: $48,984 Annually, Exempt Position
