Title: Data Systems Specialist

Reports To:               Program Director
Pay:                            $50,460.80 to $60,552.96

Office Hours:             Monday – Friday; 8:30 a.m. to 5:00 p.m. Evening and weekend hours as needed.

Description
YMCA International Services is a unique branch of the Y of Greater Houston that seeks to meet the needs of Houston’s significant refugee and immigrant communities.  We provide comprehensive programs that focus on building human assets and fostering self-sufficiency.  The Data Systems Specialist will oversee all data entry into the Client Track and RMS databases and will work to ensure data integrity. The Data Systems Specialist will evaluate and monitor staff members’ data entry to ensure data integrity for program and federal requirements. The Data Systems Specialist will be responsible for creating and providing regular trainings to staff members on the data entry processes in both Client Track and RMS databases. Lastly, the Data Systems Specialist will be working with Senior Directors to transition to an electronic filing system.

Duties /Responsibilities
Responsibilities of this position include, but are not limited to, the following:

  • Serve as primary liaison between YMCA International staff and TXOR technical staff on all matters related to the use of the Client Track system and required reports. Stay current on regulations/policies/practices by TXOR and ORR.
  • Develop and maintain an annual reporting calendar containing all required report types/dates.  Assist TXOR with planning around reporting/review events.
  • Assist with training new YMCA International end users, educating existing end users, and troubleshooting end user issues or questions for both Client Track and RMS.
  • Conduct ongoing internal YMCA International data quality checks, and work proactively with TXOR staff to correct any errors. Correct data in restricted fields to end users as needed.
  • Assess the needs of provider end users and program requirements and effectively communicate with YMCA International and TXOR coworkers.
  • Working closely with Senior Directors and Program Directors to transition to an electronic filing system.
  • Demonstrate knowledge of data analysis and data coordination from multiple sources.
  • Ability to respond effectively to inquiries about data and the ability to explain the interpretation or process in lay terms.
  • Evaluate and monitor quality of data entry from end users to ensure data integrity for program and federal requirements. Incorporate data from other sources to verify, validate, and improve data integrity.
  • Ability to independently plan, organize, and coordinate work to meet deadlines and accommodate changing priorities. Gather data from multiple sources for quarterly and semi-annual reports.
  • Work with counterparts at other consortium member agencies to enter data uniformly and to transfer and/or close cases in Client Track as needed
  • Ability to maintain confidential information and exercise sound judgment and discretion.
  • Reports suspicious and inappropriate behaviors and policy violations.
  • Follows mandated abuse and incident reporting requirements.
  • Meet timelines and deadlines related to supporting systems and employee compliance. Example includes but are not limited to Kronos Workforce Ready for review and approval of time sheets.
  • Other duties, as assigned.

 Requirements

  • Associate’s degree in Computer Science, Business, or related field required; bachelor’s degree preferred
  • 3 years of experience working in Information Technology (IT) preferred
  • Experience working in a multicultural setting preferred
  • Keyboard proficiency and proficiency with basic PC office software are required.
  • Strong proficiency with Microsoft Excel, Outlook and Word required.
  • English speaker with proficiency in an additional language (Preferred)
  • Texas Driver’s License; clean driving record; own vehicle; and applicable auto insurance

Note:  All positions are filled in response to current refugee arrivals and their language needs; as language needs change, this will necessitate flexibility in our staffing

 

This position is grant funded.
