What are the responsibilities and job description for the Membership Coordinator: Morrison YMCA position at YMCA of Greater Charlotte?
Under the direction of the Membership Director, and consistent with the Christian mission of the YMCA, the Membership Coordinator is responsible for membership drafts and invoices for assigned branches (Morrison). In addition, this role will be responsible for all membership data management and reporting for the branch business office.
ESSENTIAL FUNCTIONS:
- Be part of a team that implements membership sales training programs focused on core membership functions such as: recruitment, recapture, and retention and program sales.
- Execute membership acquisition tactics to ensure achievement of branch goals including campaign initiatives, sales initiatives, and some corporate partner cultivation and management. (Annual, Quarterly, Monthly).
- Assist with the tracking and reporting of productivity including prospect work, membership inquiries (by telephone and in person), appointments for tours and closing ratios for designated branch and region/community.
- Ensure that the prospective member experience is based on Legendary Service, by establishing systems and monitoring adherence to membership policies, procedures, standards and best practices for designated branch and region/community. ? Manage the auditing and processing of all new membership/program applications change forms and cancellations to ensure accuracy of data entry of all applicable personal and financial information. ? Provide programmatic training for new sales/service staff through the onboarding process.
- Manage member exit interviews and cancellation data collection. Support branch member experience plan which includes initial engagement, follow up, member contacts, and exit interviews.
- Audit daily/weekly/monthly reports and correct any account errors, also ensuring that pricing and discounts align with Association standards.
- Process collections of all payments, refunds and changes in a timely manner.
- Serve as primary branch resource for Member Service database (Personify).
- Provide a “checks and balances” system in the processing of membership and program paperwork on the front line to ensure minimal mistakes, assisting with coaching and training to team members as necessary.
- Work assigned shifts as front facing Membership team member.

REQUIRED QUALIFICATIONS:
1. Associate’s degree from 2-year college or technical school, or minimum two years related experience.
2. Minimum two years of business office experience.
3. Ability to exercise independent decision making, working under only general instructions to accomplish work assignments.
4. Interpersonal/relationship skills to enable person to build positive relationships with fellow staff and members.
5. Proven organizational skills with keen attention to detail.
6. Experience with a variety of computer technology, office machines and equipment.
7. Excellent typing and data entry skills requiring high rate of accuracy.
8. Ability to prioritize appropriately in handling multiple functions.
9. Demonstrated ability to manage confidential information and to work with a diverse population of members, staff and volunteers utilizing high degree of tact and diplomacy.
10. Ability to obtain and maintain all YMCA of Greater Charlotte trainings and certifications.
PREFERRED QUALIFICATIONS:
1. Advanced to expert skills in use of Personify database system.
PHYSICAL REQUIREMENTS:
1. Ability to stand or sit while maintaining alertness for several hours at a time.
2. Ability to speak concisely and effectively communicate. Fluent in English, written and verbal communication. Ability to view/enter data for long periods of time.
3. Position may require bending, stooping, climbing, writing, kneeling, walking, pushing, and pulling.
4. Ability to work irregular work hours, including evenings and weekends on occasion.
