This role increases capacity for enrollment, attendance, front office flow, and logistics so that Operations Coordinators (OCs) and Directors of Campus Operations (DCOs) can focus on leadership, systems quality, and results.

THE ROLE

When you join the YES Prep team, some of the work and responsibilities will include:
- Enrollment & Onboarding Execution Support
- Schedule enrollment and onboarding appointments for new families
- Follow up on missing enrollment documents using OC-approved scripts
- Track onboarding completion using provided checklists and trackers
- Prepare enrollment packets, welcome materials, and event supplies
- Support enrollment events through setup, check-in, and materials coordination
- Attendance & ADA Execution Support
- Conduct absence calls using approved scripts
- Track call outcomes and escalate patterns to the OC using provided templates
- Support tardy flow during arrival and high-volume periods
- Prepare attendance logs and materials for Attendance Committee meetings using provided resources
- Front Office & Family Flow Support
- Provide overflow front office coverage during peak times
- Support phone volume, dismissal changes, and family routing
- Assist with managing visitor flow under receptionist direction
- Maintain a calm, professional presence in the front office
- Logistics, Events, & Readiness Support
- Support event logistics (forms, rosters, meals, materials)
- Prepare signage, rosters, and operational materials
- Complete readiness tasks using established checklists
- Administrative & Data Preparation Support
- Maintain trackers, logs, and shared operational documents
- Scan, upload, and organize documents for registrar processing
- Track open work orders and operational requests
- Additional duties as assigned.
- Core hours are [7:00 AM – 3:30 PM], Monday through Friday, aligned with the campus school day and administrative schedule
- Evening and weekend availability is required — not occasional. This role directly supports recruitment, registration and enrollment programming, family events, and family events outside of standard hours
- Overtime must be pre-approved by the DCO; schedule adjustments for evening and weekend events will be communicated in advance

THE MUST HAVES
- High school diploma or equivalent
- 1–3 years of experience in administrative, operations, or customer-facing roles
- Strong organizational and communication skills
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel); comfort navigating shared drives, folders, and collaborative documents
- Ability to enter, update, and track data accurately in spreadsheets and operational logs across systems and programs
- Ability to manage multiple tasks with urgency and accuracy
- Role requires sustained physical presence and mobility; extended standing and movement throughout campus and during events is expected
- Must be able to lift up to 25 lbs; moving event supplies, material boxes, and printed documents is a routine part of this role
- Outdoor presence during arrival, dismissal, and events is a scheduled daily responsibility; candidate must be able to sustain performance in varying weather conditions throughout the school year

THE PERKS
- Compensation – This position is a non-exempt hourly position, salary offers commensurate with experience.
- Health and Supplemental Insurance – A low cost monthly medical option and a plan that includes $600 towards a Health Savings Account, in addition to a variety of supplemental benefits including Dental, Vision, Disability, Life, etc. Employees must work 20 hours a week to be eligible for a full spectrum of benefits, and 10 hours a week minimum for medical benefits.
- Retirement Plans – Participation in Teacher Retirement System of Texas and a 457b Retirement Plan.
- Paid Time Off – Employees working 20 hours a week receive 15 days of Paid Time Off when working the full duty schedule in addition to the system closures during the Academic Calendar. PTO days will be pro-rated based on start dates within the assigned duty schedule.
