Position Title: Office Manager
Location: Shepherd, MT
Reports To: Feedlot Manager and Senior Management

What you’ll be doing:
The Office Manager is responsible for overseeing administrative and operational support within the feedlot facility. This role ensures smooth office functions, accurate recordkeeping, and effective communication between management, livestock staff, vendors, and regulatory agencies. The ideal candidate combines strong organizational skills with knowledge of agricultural operations.
Key Responsibilities
Administrative Oversight
- Manage daily office operations, including scheduling, correspondence, and filing systems.
- Maintain accurate livestock records (inventory, health treatments, weights, movements).
- Prepare reports for management and regulatory compliance.
- Manage office supplies, vendor accounts, and service contracts.
Financial & Resource Management
- Track expenses, invoices, and feedlot budgets.
- Coordinate purchasing of supplies (feed, veterinary products, equipment).
- Liaise with vendors and service providers to ensure timely deliveries and payments.
- Support HR functions including timekeeping, onboarding, and employee files.
- Process bi-weekly payroll and file state and federal UI reports and payment.
- Manage and execute all aspects of accounts payable and accounts receivable.
Team & Communication Support
- Assist feedlot managers and supervisors with scheduling and communication.
- Organize meetings, prepare agendas, and distribute minutes.
- Serve as a point of contact for external stakeholders (producers, transporters, veterinarians).
- Assist with employee computer issues.
- Implement and utilize systems that reflect accurate and timely data for optimum decision-making and reporting.

Qualifications
- Strong organizational and multitasking abilities.
- Proficiency with office software and livestock management systems.
- Familiarity with agricultural compliance and reporting practices.
- Basic accounting and payroll knowledge.
- Clear communication skills with staff, vendors, and external partners.
- Competent with Microsoft Office Suite (Word, Power Point, Excel, Outlook) and familiar with industry software.
- Competent with QuickBooks software.
- Excellent communication skills, organizational skills, and problem-solving skills.

Education and Experience
- High school diploma or equivalent required.
- Associate’s or bachelor’s degree in Business Administration, Agriculture, or a related field preferred.
- Coursework or certifications in accounting, office management, or agricultural operations are an asset.
- 3–5 years of office management or administrative experience, ideally in an agricultural or livestock setting.
- Experience with recordkeeping systems for livestock inventory, feed tracking, and compliance reporting.
- Familiarity with budgeting, payroll, and vendor management.
- Prior exposure to regulatory requirements in agriculture (animal welfare, environmental compliance, safety standards).
Work Environment
This position is based on-site at the feedlot office. Regular interaction with livestock staff, management, and external partners is required. Occasional exposure to outdoor agricultural conditions may occur. This position has a Monday through Friday schedule; however, during silage harvest later hours and weekends are required.
