What are the responsibilities and job description for the Administrative Assistant position at YardScapes Landscape Professionals?
Our Administrative Assistant must have excellent communication and people skills, with a focus on customer service. System-based, process-oriented thinking is a key to success.
You must be able to:
- Develop a strong understanding of the services of YardScapes Landscape Professionals that allows for basic client/account management questions to be answered correctly and quickly to assist the client service team of Landscape Consultants (Account Managers) and lighten the workload
- Help clients with scheduling, concerns, account questions, payments, billing, and any other inquiries via phone and email
- Process requests for information from leads via phone and email.
- Track progress of leads and client requests and follow up with the Landscape Consultants on their status by utilizing various methods such as lists and dashboards in our landscape management CRM software to ensure that the YardScapes team is providing the best communication possible to clients and leads
- Enter client data, as well as other items into landscape business management CRM software
- Execute invoicing, process credit cards and checks received, and help with collections
- Provide administrative assistance to the CEO as needed
- Organize the office area and maintain inventory and marketing materials
- Exhibit excellent time management and multi-tasking skills
- Represent the company in a courteous and professional manner

Job Type: Part-time
Job Hours: Monday - Friday from 9:00 a.m. to 3:00 p.m. with flexibility to fit your schedule
Salary: Pay based on experience; starting at $24 per hour.
Required Education:
- High School Diploma
Required Experience:
- Administrative experience: 3 years
- Advanced skills in Microsoft WORD, EXCEL, and OUTLOOK,
- Excellent data entry and customer service skills
- Excellent multi-tasking and time management skills
- Clear and effective communicator, both verbal and written
- Meticulous about ensuring that data and tasks are completed on time and accurately
- Ability to handle frequent interruptions and reprioritize when necessary
Required Language:
- English - fluency in reading, writing, and speaking
Preferred Education:
- Associate’s degree
Preferred Experience:
- 5 years of related experience
- Marketing, recruiting, and sales experience
- Expert level in Microsoft WORD, EXCEL, and OUTLOOK
- Bilingual (English & Spanish)
- Advanced skills in Aspire landscape business management CRM software
Pay: $24.00 - $28.00 per hour
Expected hours: 30.0 per week
