What are the responsibilities and job description for the Security and Facilities Coordinator position at Yanfeng Automotive?
The Facilities Coordinator is responsible for managing multiple functions of building operations and maintenance for a facility and the needs of building employees. This role manages and provides employee ID badges and all related services.
- Supports facility in maintaining daily operational functions.
- Maintains daily routine functions to include work orders, contractor monitoring, inspections, resolving facility related issues, lending support as required to other business groups.
- Interacts with both contracted vendors and facility management and occupants.
- Works independently and supervises projects, company events and facility related program launches.
- Conducts weekly /monthly facility tours and inspections to identify potential issues and ensures all mechanical systems are functioning properly. Reports malfunctions and assists in scheduling repairs as required.
- Maintains all compliances codes, provides input for monthly reports.
- Maintains facility recycling programs, shredding operations, copier paper distribution.
- Performs light maintenance duties.
- Works with business unit in assessing seating and layout needs.
- Performs weekly/monthly safety inspections. Assists vendor with Fire Tests.
- Provide technical support to fire and security technicians who are at the sites and putting systems in bypass/test mode.
- Add, terminate, modify and audit badge access as requested/needed.
- Manage the Centralized Badge Services outlook email “In box” requests daily. Turnaround is expected to be completed/mailed out within 24 hours.
- Become proficient with badging software and system including but not limited to cleaning, replacement parts, and basic troubleshooting.
- Ensure ordering of badge supplies, general purchase order support for Novi facilities orders, supply management ordering (coordinate with other office buildings).
- Position requires significant internal customer communication with HR and all information is held confidential, i.e. badge shut off’s, reports etc.
- Support HR with facilities related items including but not limited to collecting and issuing IT equipment and badges as needed.
- Monitor security cameras and other cameras as needed.
- Utilize guest access system, Envoy or other.
- Act as backup support for internal meal service system.
- Manage front desk operations, acting as first point of contact for employees, tenants, guests, and vendors.
- Ensure proper security measures are maintained during business hours by following established visitor registration procedures.
- Sign for deliveries and coordinate employee pick-up.
- Collect and distribute payroll, benefits and finance related mail.
- Maintain and order proper inventory of office and FedEx supplies
- Purchase order support for Novi facilities needs.
Education:
Some College: Area of Study; Bachelors degree in Business Administration or related discipline preferred. *Equivalent work experience may also be considered
Required Qualifications:
- 1 -3 Minimum Years of Experience in similar role with a focus in facilities management and/or facilities security.
- Must be able and willing to travel and work at customer sites, including industrial manufacturing plants which might require climbing, lifting, or working in confined spaces.
- Ability to learn new tasks quickly
- Computer proficient (Word, Excel, typing)
- Office Equipment proficient (Fax, Scanner, copier, printers etc.)
- High communications skills, both written and verbal
- Ability to comprehend and retain technical knowledge
- High level of concentration skills, multitasking abilities and quality assurance
