The Director of Advancement Services will manage a team and serve as subject matter expert to support the philanthropy administration needs of the Yale New Haven Health System (YNHHS), Delivery Networks (DN) and Service Lines (SL). Maximize the use of advancement systems, reporting tools and data products, as well as oversee gift recording, biographical data, database, and finance reconciliation. Provide operational support to delivery networks using a proactive/collaborative approach, technical expertise, automated tools, and web-based applications. Develop comprehensive executive analytical reports, applications training programs and provide support and integration services between systems.

Responsibilities

  • Development Services Team Leadership
    • Lead and mentor the Development Services team to foster a high-performing, collaborative, and growth-oriented environment. Promote professional development through coaching, training, and performance feedback.
    • Serve as the primary subject matter expert in philanthropy administration, with deep knowledge of Raiser's Edge NXT and related systems. Provide technical guidance and strategic input to ensure best practices in gift processing and data management.
    • Oversee the accurate and timely recording of all philanthropic gifts across Yale New Haven Health System (YNHHS), Delivery Networks (DN), and Service Lines (SL). Ensure the integrity, consistency, and quality of biographical and gift data within the advancement database.
    • Design, implement, and maintain a donor receipting process that ensures timely and compliant gift acknowledgments. Collaborate closely with the Stewardship team to develop and refine donor acknowledgement programs that enhance donor engagement and satisfaction.
    • Oversee reconciliation processes between advancement and finance systems to ensure accuracy, transparency, and compliance. Monitor and validate financial data related to philanthropic gifts and pledges.
    • Collaborate with finance teams to resolve discrepancies and maintain audit readiness. Ensure all financial reporting and documentation meets internal and external compliance standards.
    • Foster a culture of accountability, innovation, and continuous improvement within the team and across advancement operations
  • Database Management and Optimization
    • Maximize the use of advancement systems, reporting tools, and data products to support strategic planning and decision-making. Ensure systems are configured and maintained to meet evolving organizational needs.
    • Develop and maintain executive-level analytical reports and dashboards to provide actionable insights to leadership. Translate complex data into clear, meaningful visualizations and summaries.
    • Provide proactive and collaborative operational support to DN and SL teams, ensuring alignment with system-wide advancement goals. Act as a liaison between technical teams and end users to facilitate effective communication and problem-solving.
    • Identify and implement opportunities for process automation, system enhancements, and workflow optimization. Lead initiatives to streamline data entry, reporting, and gift processing functions.
    • Design and deliver training programs for advancement systems and applications to ensure consistent and effective use.
    • Stay current with industry trends, best practices, and emerging technologies in advancement services.
  • Perform other duties as assigned to support the mission and strategic objectives of Advancement Services and Yale New Haven Health System.
Qualifications

EDUCATION

Bachelor's degree in business administration, Information Technology, or related field required. Advanced degree preferred.

Experience

Minimum of 10 years experience as a in gift administration and database management to support and promote philanthropy. 5 years experience leading and managing teams required. Raisers Edge NXT experience required. Experience in an academic health system, medical school, Tier One research university, or complex nonprofit environment where philanthropy is a strategic imperative, with campaign experience preferred.

PHYSICAL DEMAND

Availability to work nights and weekends and travel to events as needed. Work is performed in a remote or office-based environment and requires the ability to operate standard office equipment.
