The Williams College of Business at Xavier University is seeking a collaborative and detail-oriented Operations Coordinator to play a vital role in supporting the college’s mission and daily success. This position provides comprehensive fiscal, operational, and administrative support for the Williams College of Business (WCB). The role ensures efficient budget management, financial compliance, and centralized operational processes across all academic departments, centers, and programs. The Coordinator manages purchasing and reimbursements, oversees contracts and risk documentation, administers faculty and student travel logistics, and supports key academic systems. Acting as a central resource for policies and operations, the Coordinator partners with college leadership, faculty, staff, and university offices to advance the mission and operational excellence of the college

The role ensures efficient budget management, financial compliance, and centralized operational processes across all academic departments, centers, and programs. The Coordinator manages purchasing and reimbursements, oversees contracts and risk documentation, administers faculty and student travel logistics, and supports key academic systems. Job Responsibilities
- Supports college leadership with budget management, tracking, reporting, and analysis for WCB finances and activities.
- Oversee procurement activities, including purchase orders, contracts, vendor setup, and renewals for food, software, memberships, swag, and subscriptions.
- Oversee budgeting, contracts, P-Card use, and reconciliation for student and faculty group travel programs
- Provide project management assistance for cross-college initiatives and continuous improvement of administrative systems.
- High School Diploma or equivalent. Bachelor’s Degree preferred.
- Ability to adapt to a changing environment and handle multiple priorities.
- Excellent writing and analytical skills.
- Proficient in Microsoft Office, with aptitude to learn new software and systems.
