Accounts Payable Specialist

Extreme Engineering Solutions (X-ES) is seeking a motivated Accounts Payable (AP) Specialist to support our daily financial operations and contribute to the accuracy and efficiency of our accounting processes. This role plays a key part in ensuring timely and accurate processing of accounts payable activities. The ideal candidate is detail-oriented, highly organized, and thrives in both independent and collaborative work environments, with a strong commitment to meeting deadlines and supporting team goals.

Duties and Responsibilities

This position manages the full-cycle accounts payable process and supports financial operations, including but not limited to:

• Review invoices for appropriate documentation prior to payment

• Accurately enter and verify purchase orders (POs), vendor bills, and financial transactions in QuickBooks
• Communicate directly with vendors and our purchasing department to address inquiries and resolve discrepancies in a timely manner
• Responsible for all vendor payments
• Organize and maintain financial records through digital and physical filing, spreadsheet tracking, and other documentation methods in compliance with company policies and accounting standards
• Perform additional accounting and finance tasks as assigned to support department operations
• Prepare and distribute 1099-NEC forms to vendors; ensure timely and accurate electronic filing with the IRS and state agencies

Required Qualifications

• Associate's degree in Accounting; equivalent relevant experience may be considered in lieu of degree
• Proficient in Microsoft applications including Excel and Outlook
• Solid understanding of basic principles of finance, accounting, and bookkeeping
• Strong organizational skills with keen attention to detail and the ability to manage shifting priorities to meet deadlines
• Proven ability to maintain a high level of accuracy and handle sensitive information with confidentiality
• Excellent verbal and written communication skills
• Self-motivated and capable of working independently with minimal supervision
• Ability to work onsite from our facility located at 9901 Silicon Prairie Parkway in Verona, WI

Desired Qualifications

• Strong analytical and mathematical skills
• Prior experience in accounts payable, manufacturing is a plus
• Familiarity with accounting software and online platforms, with the ability to learn new programs and tools quickly
• Experience working in an ERP system preferred, knowledge of QuickBooks a plus
• Knowledge of 1099-NEC reporting requirements and electronic filing processes
