We are looking for a Physical Therapy Schedule Coordinator who, within minutes, can make our new and returning patients realize that they made the right choice by contacting us.

Key Responsibilities

• Schedule, confirm, and reschedule physical therapy appointments efficiently
• Coordinate multiple therapist schedules to maximize clinic efficiency and patient access
• Communicate with patients regarding appointment availability, cancellations, and waitlists
• Communicate schedule changes to staff and clients in a timely manner
• Monitor availability and resolve scheduling conflicts
• Verify patient demographics and referral information at scheduling
• Work closely with therapists and clinical staff to ensure appropriate appointment lengths and coverage
• Maintain accurate patient schedules in the EMR and scheduling systems
• Follow HIPAA guidelines to protect patient confidentiality
• Provide front-desk and administrative support as needed

Qualifications

• Previous experience in a healthcare, physical therapy, or medical office setting preferred
• Strong customer service and communication skills
• Excellent organizational multitasking abilities and time-management skills
• Ability to multitask and remain calm in a fast-paced environment
• Attention to detail and problem-solving mindset
• Excellent verbal and written communication skills
• Familiarity with EMR systems and medical scheduling software preferred
• Proficiency with Microsoft Office / Google Workspace /spreadsheets
• Ability to handle sensitive patient information with professionalism and empathy
