Responsibilities

  • Greet visitors and manage front desk operations with professionalism and warmth, ensuring a positive first impression.
  • Answer multi-line phone systems efficiently, directing calls accurately and providing courteous customer support.
  • Manage calendar appointments, schedule meetings, and coordinate events using tools like Google Workspace and Microsoft Office.
  • Perform data entry, filing, and document proofreading to maintain organized records and ensure accuracy.
  • Handle clerical tasks such as photocopying, scanning, mailing, and maintaining office supplies inventory.
  • Support bookkeeping activities using QuickBooks or similar accounting software, including basic invoicing and expense tracking.
  • Assist with general office management duties to optimize workflow and improve overall efficiency.

Qualifications

  • Proven office experience with strong computer literacy in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Previous clerical or administrative experience, preferably in a medical or dental reception setting or as a personal assistant.
  • Bilingual abilities are highly desirable to serve diverse client needs effectively.
  • Strong phone etiquette skills with experience managing multi-line phone systems and providing exceptional customer service.
  • Familiarity with office management procedures such as filing systems, data entry, proofreading, and calendar management.
  • Knowledge of bookkeeping software like QuickBooks is a plus; certification or experience in medical or dental receptionist roles is advantageous.
