We are seeking a highly organized and detail-oriented Bookkeeper / Office Manager to oversee daily financial and administrative operations at our lumberyard. The ideal candidate will be responsible for maintaining accurate financial records, managing office functions, and supporting operational efficiency in a fast-paced, customer-focused environment.
Key Responsibilities:Bookkeeping & Accounting:
- Manage accounts payable and receivable, ensuring timely billing and collections
- Reconcile bank statements and monitor cash flow
- Process payroll and maintain related records
- Prepare monthly, quarterly, and annual financial reports
- Maintain general ledger and chart of accounts
- Handle sales tax reporting and other government filings
- Work with external accountants for tax preparation and year-end audits
Office Management:
- Oversee daily administrative functions of the office
- Order office and business supplies
- Maintain accurate inventory and job costing records (in coordination with yard staff)
- Organize and maintain filing systems (physical and digital)
- Implement and improve office procedures and workflows
- Serve as point of contact for vendors, clients, and service providers
Customer & Vendor Support:
- Assist with customer account inquiries and resolve billing issues
- Coordinate vendor payments and maintain positive supplier relationships
- Support sales staff with order entry, invoicing, and documentation
Qualifications:
- Proven experience as a bookkeeper, office manager, or similar role
- Strong understanding of accounting principles and practices
- Proficient in Epicor (or similar accounting software)
- Proficient in Microsoft Office Suite (especially Excel and Outlook)
- Familiarity with lumberyard or construction supply industry is a plus
- Excellent organizational and multitasking skills
- High level of accuracy and attention to detail
- Strong written and verbal communication skills
Education & Experience:
- Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field (preferred)
- Minimum 3 years of experience in bookkeeping and office administration
Working Conditions:
- Office located within or adjacent to a lumberyard; occasional interaction with warehouse/yard staff
- Fast-paced environment with seasonal fluctuations in workload
- Must be comfortable with occasional interruptions and shifting priorities
