What are the responsibilities and job description for the Elementary Secretary position at Wray School District?

- Must have the ability to handle multiple tasks and prioritize accordingly, work independently, and perform individual projects and routine matters with minimal direction and supervision
- Must have the ability to work independently on projects assigned by the Elementary School Principal
- Must have a working knowledge of office procedures/practices
- Must have a working knowledge of office procedures/practices and demonstrates familiarity with basic office equipment such as multi-line phones, and copiers
- Computer knowledge in database, word processing, spreadsheet and bookkeeping on the current PC environment
- Must be able to accomplish basic accounting and/or bookkeeping procedures. Must be able to account for money, keep accurate records and balance accounts
- Must be able to process building documents such as daily student attendance, staff leave of absence, substitute and classified staff time sheets, etc.
- Must have the ability to maintain effective working relationships with students, faculty, other administrators and the general public and to deal with public relations problems courteously and tactfully
- Must have good interpersonal and communication skills
- Maintain information and data in a confidential and secure manner
- Responds to inquiries from a variety of internal and external parties by phone, letter, and/ or in person (e.g. staff, parents, students, etc.)
- Answer the telephone, screens, and direct calls, coordinate student appointments (e.g. call classrooms, file and record required documentation for absences)
- Maintain office equipment in proper functioning order and maintain a sufficient inventory of supplies for such machines (e.g. toner, ink, toner, etc.)
- Know and carry out emergency awareness procedures, and maintains required record keeping (e.g. tornado and fire drills)
- Must maintain a current “Certificate of Medication Administration” to administer first aid and medication to students under the direction of a health professional for the purpose of meeting immediate healthcare needs
- Monitor the bell system, and makes school-wide announcements
- Order, track, and dispense supplies
- Prepare and send transcripts for all students as requested.
- Secures substitutes for on-site staff coverage for teachers and Para’s as necessary, updating Sub Calendar
- Record staff and faculty attendance records, process time sheets for classified staff in iVisions and TimeClock Plus for payroll
- Sort mail for the office
- Prepare the daily/weekly announcements
- Prepares a variety of reports and written materials (e.g. report cards, attendance activity, transcripts, and other correspondences as necessary)
- Prepare opening for school packets, and information, and assign student lockers/cubbies
- Assist other secretaries as time permits
- Assist the principal in preparing weekly bulletin and distribute
- Assist in inventory and end-of-school reports and award certificates as directed
- Maintain petty cash accounts/works closely with District Office personnel in paying small instructional bills
- Supervise and train student office help, monitors students in the ISS room
- Provide data for student counts and other official information
- Prepare end-of-year school reports
- Maintain confidentiality and integrity in handling information and documents
- Treats each person with respect and dignity
- Work Back to School Registration in July
- Assist with Kindergarten pre-registration
- EHall Pass (e.g. User Management, and monitors student passes)
- Other duties as deemed appropriate by the Elementary School Principal or designee
- The majority of working hours will be in an office setting. Light physical activity such as walking and standing is required on a daily basis. Must have the ability to think clearly in stressful situations, and works well under pressure. Some local travel to complete office errands may be required.
