Job Summary:
The Director of Operations is responsible for leading, optimizing and overseeing operational infrastructure spanning client onboarding, partner fulfillment, compliance workflows, data integrity and team performance. This role sits at the intersection of strategy and execution, with a strong focus on process improvement, customer focus, and scalable growth. The Director of Operations will lead a team of supervisors, coordinators and related personnel, ensuring that all tasks are completed accurately and on time.
Key Responsibilities:
Leadership and Management:
- Provide strategic and hands-on leadership to cross-functional teams, fostering a high-performance culture rooted in accountability, transparency, and continuous improvement.
- Develop and mentor operational staff, creating clear growth paths and performance frameworks that align individual goals with company objectives.
- Lead cross-departmental collaboration to ensure alignment between operations, product, sales, and client success, enabling unified execution and scalable outcomes.
- Translate strategic priorities into actionable operational plans, driving efficiency, accuracy, and service excellence across all client and partner workflows.
- Champion a data-driven management approach, using KPIs and dashboards to monitor productivity, identify bottlenecks, and proactively optimize performance.
Operational Oversight:
- Oversee day-to-day operations of the business, ensuring timely and accurate processing of tax credit workflows.
- Supervise the data entry operations, ensuring efficient processing and high-quality output.
- Monitor and report on team performance, identifying areas for improvement.
- Ensure that all WOTC data entry processes comply with regulatory requirements and company standards.
- Implement and oversee quality assurance protocols to maintain data accuracy and integrity.
Process Management:
- Identify, document, and continuously refine operational processes to enhance efficiency, reduce errors, and improve overall client and partner experience.
- Implement best-in-class process management tools and methodologies (e.g., Lean, Six Sigma, SOPs) to drive consistency and scalability.
- Collaborate with product and engineering teams to automate high-volume, repeatable tasks and integrate workflows across systems.
- Conduct regular process audits and root cause analyses to proactively resolve bottlenecks and mitigate risk.
- Standardize workflows across departments to ensure alignment, reduce redundancies, and support performance measurement at scale.
Client Submissions and Issue Resolution:
- Ensure that submissions received from clients are correct and complete.
- Collaborate with appropriate departments to resolve any issues or discrepancies in client submissions.
- Develop and maintain strong internal relationships to support business objectives.
Cross-Department Collaboration:
- Collaborate with product and engineering to improve automation, system performance, and user experience.
- Foster a collaborative environment to ensure the smooth operation of the data entry department within the broader company framework.
- Participate actively in the Entrepreneurial Operating System (EOS) team, contributing to strategic planning and execution.
- Assist in the development and implementation of company-wide initiatives and goals.
Employee Management:
- Oversee employee hiring, assessments, and management.
- Conduct regular performance reviews and provide constructive feedback.
- Implement employee development programs to enhance skills and competencies.
Compliance and Reporting:
- Ensure compliance with all relevant regulatory requirements and internal policies.
- Prepare and present regular reports on department performance to senior management.
- Develop and implement compliance training programs for the data entry team
Qualifications:
- Bachelor's degree in business administration, Operations Management, or related field.
- 7 years in operations leadership, preferably within a SaaS, fintech, or tax-related services environment.
- Proven success in building and scaling operations teams and systems.
- Strong knowledge of process mapping, automation tools, and KPI-driven decision-making.
- Excellent organizational, analytical, and problem-solving skills.
- Deep understanding of compliance-heavy workflows (WOTC, payroll tax credits, etc., a plus).
- Comfortable working in a fast-paced, data-driven environment.
- Ability to work under pressure and meet tight deadlines.
- Proficiency in MS Office and data entry software.
Preferred Qualifications:
- Experience with process improvement methodologies.
- Knowledge of regulatory requirements related to data entry and processing.
- Experience with the Entrepreneurial Operating System (EOS) or similar business operating systems.

Pay: $120,000.00 - $160,000.00 per year
