We are currently seeking a Mail & Office Services Coordinator for our corporate facilities team. This is a part-time on-site position in our King of Prussia office. The hours are Monday through Friday from 9:00 a.m. – 3:00 p.m. (we are open to being flexible with start and end times). The hourly rate is $18 per hour, 25 hours per week.

The Facilities Coordinator is responsible for coordinating all mail and office services activities. This includes mail and equipment fulfillment, delivery of mail and packages to all tenants and subtenants of the building and working closely with all facilities staff to maintain a beautiful and well-run office space.

Responsibilities:

  • Print, fold, insert, and mail correspondence. Label boxes, seal, weigh, and ship packages
  • Print and mail renewal invoices twice monthly
  • Respond to all email requests regarding the timely printing and mailing of all requested member ID cards
  • Open, sort, and distribute incoming mail to business units and sub-tenants throughout the company
  • Deliver copy paper, envelopes, and office supplies to various business units through the company
  • Unload, unpack, and deliver shipments to areas throughout the building
  • Maintain shredding container inventory, locations, and vendor shredding schedule
  • Tour the building each morning and periodically throughout the day to keep neat and look for disruptions in the hallways, patio, elevator lobby areas, and cafeteria
  • Perform small repairs, such as replacing light bulbs, cleaning/repair furniture, hang white boards, or ensure that tasks are being addressed by the building landlord
  • Furniture set up and breakdown for corporate events and large meetings
  • Work closely with HR and IT to pack and ship new employee equipment and to receive returned equipment
  • Assist with relocation of workstations with moving furniture, equipment, and personal items when needed
  • Assist & communicate with maintenance & service-call personnel with events or incidents from start to finish
  • Cross train duties with the Facilities Assistant to be a full back up in the event of PTO or leave

Requirements:

  • Prior experience in mailroom, office services, or facilities is preferred
  • Must learn to use various office equipment, including unassisted use of the folder-inserter machine, postage machine, letter opener, and multi-functional devices
  • Must have unimpeded reach and mobility with ability to perform repetitive physical tasks (i.e., stuffing of envelopes, folding papers)
  • Ability to lift 30lbs or more on a regular basis with assistance is necessary
  • Working knowledge of Microsoft Office products as well as a basic knowledge of clerical procedures
  • Good attention to detail in presentation and packaging of documents for customers
  • Solid verbal and written communication skills and ability to effectively work with internal and external customer requirements, complaints, and concerns
  • Organized, good with problem solving, and basic math skills
  • Ability to make decisions and support them with documentation. Can follow both written and verbal instructions
  • Can handle multiple priorities in a timely manner
